Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This energetic role is vital in ensuring smooth office operations or our busy catering business, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to thrive in a fast-paced environment. You will be the backbone of our office, managing daily tasks with enthusiasm and professionalism to help us achieve our goals efficiently.

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism
  • Operate phone systems, handle incoming calls, and provide prompt, courteous customer support
  • Maintain accurate data entry and filing systems using Microsoft Office, Google Workspace, and other office management tools
  • Schedule appointments, manage calendars, and coordinate meetings to optimize team productivity
  • Perform clerical tasks such as proofreading documents, processing invoices with Square/QuickBooks, and organizing office supplies
  • Support bookkeeping activities including basic bookkeeping and record-keeping for financial transactions
  • Handle phone etiquette professionally across all communication channels while providing excellent customer service
  • Conduct general office management duties to ensure a clean, organized workspace that promotes efficiency and safety
  • Previous office experience or administrative support roles demonstrating strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with Square/QuickBooks or similar bookkeeping software is a plus but not necessary.
  • Strong typing skills with high accuracy; familiarity with data entry and proofreading tasks
  • Pleasant phone etiquette required, able to speak and relate to people
  • Prior experience in an office specifically hospitality business is a plus
  • Demonstrated ability to manage calendars, coordinate schedules, and prioritize tasks effectively
  • Excellent organizational skills combined with time management expertise to handle multiple responsibilities simultaneously
  • Be presentable in the office and on client meeting.
