What are the responsibilities and job description for the Administrative Assistant position at PARSONS CHILD & FAMILY CENTER?
Position Summary
This position is responsible for providing technical, administrative and clerical support to both Early Head Start (EHS) and Neil Hellman Preschool (NHPS) programs at the Early Learning Center.
Essential Duties and Responsibilities include the following. Other duties may be assigned. Employees are expected to be awake and alert while working.

Provide a welcoming and inviting environment for children, families, staff and the community. Follow-up as needed with families regarding enrollment documents.

Perform secretarial functions such as: Answer phones; screen visitors; prepare and distribute correspondence; manage incoming/outgoing mail and faxes; assist with calendars, schedules, appointments, organize, order office supplies and maintain paper and electronic files.

Set up and maintain client files, audit for file content, close and transfer to the records department in Albany. Assist with preparing documents for EHS Policy Council and Board Meetings.

Assist with data management using multiple software and databases, including running reports as assigned.

Process requests for information as per Agency policy and Center procedure.

Prepare and manage communication regarding NHPS CPSE evaluations.

Follow opening and closing procedures for the Early Learning Center.

Audit NHPS student attendance and document absences in appropriate databases.

Assist with emergency preparedness at the Center, including fire drills, shelter-in-place drills, and maintain Material Data Sheets (MSDS).

Other duties may be assigned.

Education and/or Experience
Requires an Associate’s degree and two years of related experience, or equivalent education and experience.
