Job Summary

Pattonville School District is seeking a passionate and dedicated Administrative Assistant III to join our team. Key Responsibilities

  • Maintain and manage all student academic records, including enrollment, withdrawals, transfers, and graduation status.
  • Ensure accuracy, security, and confidentiality of student information in compliance with district, state, and federal regulations.
  • Process transcript requests and prepare official transcripts, enrollment verifications, and other academic records.
  • Serve as the primary point of contact for records-related inquiries from students, parents, staff, and external institutions.
  • Manage student information systems, ensuring timely and accurate data entry and updates.
  • Coordinate student registration processes, including new student intake and orientation support.
  • Prepare reports related to enrollment, attendance, and academic records as required by administration or district offices.
  • Maintain organized electronic and physical and digital filing systems for student records in accordance with retention policies.
  • Collaborate with school staff to ensure compliance with policies and procedures related to student records and data reporting.
  • Assist with state reporting requirements and audits involving student data.

Additional Duties

  • Performs other related tasks as assigned by the principal(s).

Qualifications

  • High school diploma or equivalent required.
  • Excellent communication and interpersonal skills; able to engage effectively with staff, students, families, and the public.
  • Knowledge of school policies, procedures, and internal operations; ability to handle sensitive information with discretion.
  • Strong organizational skills with the ability to multitask, prioritize, and work independently or as part of a team in a fast-paced setting.
  • Proficient in modern office software and technology, including word processing, spreadsheets, email, and scheduling tools.

Travel Requirements

  • Travels to school district buildings and professional meetings as required.

Schedule

  • Monday-Friday
  • eight hours per day; in person.

Pay Structure

  • Pay Grade A135: $17.79–$28.34 per hour
