Our client is seeking a highly organized and detail-driven Client Support Specialist to serve as the backbone of their project operations. This is a fast-paced role that requires a blend of administrative rigor and professional communication. You will be responsible for managing the full lifecycle of complex orders, coordinating with vendors, and ensuring that our project teams have accurate, up-to-date data. Because of the technical nature of our systems, the first year will be a comprehensive learning period, making this an ideal role for someone who is eager to master a new craft and establish long-term stability with a collaborative team.
What You'll Do:
- Manage full-cycle order processing, from initial entry and verification to final completion
- Coordinate directly with vendors and internal teams to ensure accurate product delivery and installation schedules
- Maintain precise records within our operating system to reflect real-time order status and pricing
- Prepare and review price quotes, proposals, and service/warranty orders
- Proactively resolve discrepancies in order totals, acknowledgments, or installation schedules
- Communicate professionally and promptly with clients regarding order updates and project timelines
- Monitor and audit daily order reports to ensure compliance with quality and financial standards
- Facilitate payment requests and credit applications through our accounting department
- Collaborate with internal stakeholders to refine order processing workflows and best practices
- Participate in weekly team meetings to provide updates on project backlogs and potential risks
What They’re Looking For:
- Minimum of 1–2 years of experience in a customer service or administrative support role
- Advanced computer proficiency, specifically with Microsoft Office Suite
- Exceptional attention to detail and a "numbers-oriented" mindset
- Strong organizational skills with the ability to multitask in a high-volume environment
- Excellent verbal and written communication skills for diverse client/vendor interactions
- Proven ability to follow complex directions while demonstrating the initiative to problem-solve
- Capability to transition seamlessly between administrative tasks and client-facing support
- Commitment to accuracy in data entry and financial documentation
- High degree of professional maturity and the ability to maintain internal confidentiality
- Reliability and a strong work ethic to consistently meet a 40-hour work week
