Responsible for performing specialized administrative support activities involving complex work methods, procedures, problems, and specialized terminology. Receives and screens walk-ins and callers and informs them of the office operations. Independently composes routine correspondence or selects appropriate form letter reply using Word processing software. Maintains a variety of confidential office files and records; compiles data; completes legal forms, timekeeping, and/or payroll. Prepares Department payroll using Human Resources Information System (HRIS); purchases office supplies using Advantage software. Maintains office calendar and schedules appointments for various Directors; reads and routes incoming mail and assembles files and other materials. Advises employees and County staff on policy, procedures, rules, and regulations. Performs records management duties by preparing, reviewing, storing files, and preparing for the destruction of records. Work is performed under the general supervision of an administrative superior and is reviewed through conferences, reports, and results achieved.
QUALIFICATIONS
This position requires qualified applicants to possess the following:
- Graduation from high school or an equivalent recognized certification; minimum of four (4) years of progressively responsible office experience, which includes six (6) months reviewing, overseeing, and leading the work of others.
PREFERRED QUALIFICATIONS
Preferred qualifications include:
- Experience providing customer service in person and over the telephone (must specify on application),
- Experience preparing payroll using HRIS or other payroll software (must specify on application),
- Experience purchasing office supplies using Advantage or other automated financial system (must specify on application),
- Experience with video conferencing software (must specify on application),
- Experience using MS Word/Excel/PowerPoint/Outlook, and
- Experience with records retention (must specify on application).
