Overview

The Office Operations & Events Manager owns the full operational performance and in-office experience of OneRail’s headquarters. This role is responsible for ensuring the office runs efficiently, events are executed at a high level, and team engagement is consistently elevated.

This individual operates as both a strategic planner and hands-on executor—managing vendors, travel, events, and internal initiatives while leading the Workplace Experience Coordinator. Success in this role means the office operates without friction, events are delivered with precision, and the team feels consistently supported and engaged.

Responsibilities

Office Operations & Facilities

  • Own all day-to-day office operations, maintenance, and vendor relationships.
  • Manage service requests, repairs, and ongoing facility upkeep.
  • Oversee office supply procurement and operational readiness (non-kitchen).
  • Manage shipping, mail logistics, and internal operational workflows.

Team Leadership

  • Directly manage and provide guidance to the Workplace Experience Coordinator.
  • Set daily, weekly, and quality expectations for front-of-house operations.
  • Ensure consistent execution of hospitality, cleanliness, and office standards.

Event Planning & Execution

  • Own planning and execution of all company events, team outings, and internal gatherings.
  • Lead quarterly fundraising events end-to-end (planning through execution).
  • Serve as the on-site operational lead for all events.
  • Partner with leadership to execute the annual company meeting (December).
  • Manage all vendors, venues, catering, logistics, and run-of-show documentation.

Weekly Team Experience (Food Program)

  • Own and execute a consistent weekly food experience for the team.
  • Provide either a breakfast activation (e.g., roller grill items) or a lunch spread once per week.
  • Ensure quality, consistency, and alignment with team preferences.
  • Manage vendors, ordering, setup, and budget for weekly offerings.

Employee Travel Coordination

  • Oversee all employee travel logistics including flights, hotels, and transportation.
  • Ensure smooth execution of bookings and proactively resolve issues.
  • Maintain clear communication and accurate itinerary management.

Team Engagement & Culture

  • Partner with leadership to drive culture initiatives and team engagement.
  • Identify and execute opportunities to recognize milestones and strengthen team connection.
  • Coordinate cross-functional activities and internal experiences.

Swag & Branded Merchandise

  • Manage inventory, ordering, and distribution of company swag.
  • Coordinate with vendors to support onboarding, events, and team needs.

Qualifications

  • 3–6 years of experience in office operations, event management, or related roles
  • Proven ability to manage multiple priorities and execute at a high level
  • Experience with vendor management, event planning, and logistics
  • Strong leadership and communication skills
  • Highly organized with a proactive, ownership-driven mindset
