This position does not have supervisory oversight.
Expected Hours Of Work
Employee must work a minimum of thirty (30) hours each week to maintain full-time status for benefits purposes, however the expectations of the position will require an average of forty (40) hours with some overtime required as scheduled.

This job operates predominately in an indoor office environment with some exposure to the warehouse environment with some exposure to noise, vibration, particles, fumes, and temperature variations. This role routinely uses standard office equipment such as computers, phones, photocopiers, fax machines, and filing cabinets.

Summary / Primary Role
The position of Safety Coordinator will have primary responsibility for providing clerical assistance to support both Safety and Trucking Operations.
Essential Functions
- Answer incoming calls and address needs or redirect to appropriate parties.
- Maintain lease-purchase and independent contractor agreements.
- Manage monthly expiring driver licenses, DOT Physicals, equipment inspections and send mailed notifications to drivers and follow up until all new documents have been obtained. Update appropriate systems with new expiration dates.
- Run the motor vehicle reports (MVR) following physical renewals.
- Manage annual DOT-required certificate of violations and annual MVR reports.
- Update and maintain driver qualification, personal, and equipment files within FMCSA compliance.
- Validate drivers are registered with the Drug and Alcohol repository, FMCSA Clearing House.
- Ensure random drug tests are completed monthly
- Oversize, Overweight permit ordering on various state and vendor permit websites.
- Work alongside the drivers and dispatchers to determine route preferences, verify equipment and load specifications for ordering permits.
- Interact with regulatory agencies regarding permitting laws, rules and regulations.
- Arrange for escorts when required for oversize loads, evaluate available vendors and negotiate rates.
- Audit logs for HOS violations, accuracy, completeness and compliance.
- Oversee the notifications to company drivers of HOS violations and compliance expiration letters.
- Assist with the onboarding of new company and contractor equipment in gathering required documentation, updating systems, preparing files and folders, providing drivers with necessary operating packets and signs.
- Assist with fuel cards
- Conduct ELD training and hours of service training for new hire driver orientations.
- Mintor log and camera violations in Samsara
- Support the collection and various state account reconciliations for accounting and billing purposes.
- Assist with updating license plates for increase weight limits, plate transfers, etc.
- Assist with annual process of gathering 2290, and annual renewal process for IRP, IFTA, UCR, Service Agreements.
- Assist with records destruction and file audits as needed or requested.
- Assist other associates with compliance duties as needed.
- Assist with other safety clerical duties, equipment files, etc.
- ALL OTHER DUTIES AND PROJECTS AS ASSIGNED.
Job Specifications
- High School Diploma or GED equivalent is required.
- One year work history in similar role and environment is required.
- Knowledge of FMCSA, state and local size and weight restrictions, DOT hours of service and log auditing experience is preferred.
- Previous experience with McLeod operating systems is preferred.
- Must be literate in Microsoft Office software programs (Word, Excel, PowerPoint, and Outlook) and be able to type a minimum of 35 words per minute.
