What are the responsibilities and job description for the Office Manager - Norwich University position at Norwich University?
Fulfills the mission of Norwich University by providing administrative support for the operations of the Center for Academic Success and Achievement (CASA) and the Institute for Innovation in Teaching and Learning (IITL) including office reception and assisting with events and meetings.
This is a 40 hour per week and 52 weeks per year 1.0 FTE position.
Essential Functions
- Provides administrative support to the unit leader and other designated employees.
- Serves as the initial point of contact for the work unit.
- Welcomes and assists walk-in visitors.
- Answers telephone and email communications.
- Maintains office supplies inventory.
- Pays invoices and reconciles purchasing and/or travel cards.
- Assists in compiling reports as requested.
- Assists and supports events, meetings, and conference/video calls.
- Assists logistics for guest speakers, room reservations, catering, etc.
- Maintains IITL and CASA SharePoint sites, Teams, and event calendars.
- Tracks project requests through Team Dynamics and assigns projects as necessary.
- Support the use of Interfolio by creating templates, training admins/faculty, and responding to questions.
- Creates documentation/spreadsheets to be used in support of presentations.
- Produces basic correspondence as assigned.
- Plans and coordinates events and meetings on behalf of the IITL and CASA.
- Supports and assists committees and groups led by this unit.
- Interacts with relevant campus units such as the Marketing and Communications Office (MCO) to assist with CASA and IITL events.
- Assists the CASA Coordinator of Student Accessibility Resources in case management tasks for incoming students with disabilities.
- Assists CASA Coordinator of Student Accessibility Resources in providing access to approved test-taking accommodations for students with disability.

- Maintains confidentiality of sensitive or private information.
- Communicates with employees, students, and others in a respectful and clear manner.
- Serves on University committees, councils, workgroups, or other designated bodies as assigned.
- Achieves, maintains proficiency in, and utilizes computers, telephones, and other job-related equipment, including related systems and software.
- Speaks, reads, and writes in English.
- Communicates by telephone, email, letter, in person, or other means or device.
- Performs other tasks as assigned by supervisor.
Job Requirements:
- High school diploma or equivalent; some college preferred
- At least 1 year of administrative work experience; higher education experience preferred
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, SharePoint, and Teams); experience with Banner preferred
- Able to sit, squat, reach, push, pull, and manipulate related equipment; lift 15 pounds; travel outdoors to various parts of the campus
- May work late evening or weekend hours infrequently

- Low level of exposure to noise, dust, fumes, vibrations, and temperature changes.
