Position Overview
The Administrative Assistant supports the Operations Manager and leadership team with daily administrative, financial, and operational tasks. This role helps maintain smooth company operations by handling paperwork, communication, scheduling, basic accounting support, and inventory coordination. The ideal candidate is organized, dependable, and comfortable multitasking in a fast-paced technical environment.
This is an on-site role and the shift for this position is Mon-Fri 8:00 AM- 5:00PM
Administrative Support
- Assist with daily operational tasks to ensure efficient workflow across departments.
- Prepare correspondence, reports, spreadsheets, and internal documentation.
- Maintain organized digital and physical filing systems.
- Support scheduling meetings, customer visits, training, and company events.
- Support communication between sales, engineering, and service.
- Assist the Operations Manager with project tracking, checklists, and process tasks.
- Provide general office support, including phones, ordering supplies, managing incoming/outgoing mail and coordinating deliveries.
- Ensure compliance with office policies and procedures while maintaining confidentiality.
- Establish and maintain professional relationships with suppliers, customers, and co-workers.
Finance & Accounting Support
- Assist with accounts payable (A/P) and accounts receivable (A/R) entry and tracking.
- Help prepare deposits and support daily banking activities.
- Process monthly customer statements.
- Assist with monthly reconciliation tasks and vendor statement matching.
- Process expense reports and gather documentation for month-end reporting.
Qualifications
- 2–4 years of administrative, operations, or office support experience (manufacturing or technical environment preferred).
- Basic understanding of A/P, A/R, and financial record-keeping.
- Proficient with Microsoft Office (Excel, Word, Outlook).
- Strong organizational skills with attention to detail.
- Good communication skills and a professional, team-oriented attitude.
- Ability to multitask, prioritize, and follow processes accurately.
- Comfortable learning new software and business systems.
- Sage Operating System Knowledge (not required, but preferred)
