The individual filling this position is expected to play a positive role in helping the College change as necessary to effectively carry out its mission.
The Purchasing Specialist position is directly accountable to the Director of Purchasing for the following duties and responsibilities:
- Help maintain vendor registrations in database. Review vendor application forms, input data, set up electronic fund transfer information accurately and create vendor unique identification numbers.
- Secure price quotes from requestors and verify shipping, delivery and terms prior to completing purchase order (PO).
- Review requisitions for accuracy and purchasing policy/statute compliance. Obtain all pertinent associated documentation (contracts, emails, quotes, etc.) and ensure relevance/applicability to requisition.
- Assist with the creation and completion of POs and distribute to vendors/requestors.
- Track status of any outstanding purchase orders. Work with departments at fiscal year to steadily close out POs and open new standing purchase orders at the start of the next fiscal year.
- Assist the Director of Purchasing with bid openings by receiving packages and recording documentation received.
- Support the college's Risk Management Office in obtaining certificate of insurance from vendors.
- Perform other duties assigned by the Director of Purchasing.
- Complete annual mandatory compliance training.

Job Requirements:
- High school diploma or equivalent required; Associates degree or higher preferred.
- Two (2) years' administrative experience recommended.
- Experience in higher education or governmental accounting preferred.
- Strong technical proficiency in Microsoft Office software required.
- Demonstrated excellence in written and oral communication.
- Strong interpersonal and organizational skills required.
- Ability to organize, prioritize, multi-task, act independently, work well with others.
- Experience in purchasing/procurement and Banner 9 preferred.
