Position Summary:

This is a Senior Executive Administrative role supporting the President & CEO in a very fast paced environment. An administrator in this role will provide high-level support to the President & CEO of Norlee Group, keeping his path clear of non-essential tasks while proactively anticipating his requirements. Work is performed independently requiring ongoing and direct interaction with the President and his direct reports.

Key Accountabilities/Measurables:

The success of this role can be gauged by the following metrics:

1) Consistent proactive attention to the President’s email, calendar and itinerary, anticipating the President’s needs.

2) Proactively schedules and manages standard and recurring meetings for the President.

3) All aspects of the Norlee Group brand are managed to ensure accuracy, professionalism, and consistency.

Essential Duties and Responsibilities

In this role, an individual ensures the President’s time is optimized by proactively anticipating the President’s needs, providing high caliber executive support and corporate brand ownership guidance by performing the following activities, where other applicable duties or responsibilities may be assigned from time to time:

1) Manages and updates the President’s calendar; maintaining a minimum 4 week look ahead.

2) Manage the President's email, maintaining constant review and providing the President with updates as required.

3) Administers the Presidents corporate files using cloud storage (OneDrive).

4) Oversees the local office and all administration thereof.

5) Coordinates corporate events, employee anniversary milestones, and employee recognition needs including cards, jackets, certificates, gifts, etc.

6) Composes and prepares professional correspondence, including letters and other communications for and on behalf of the President.

7) Prepares and manages legal and/or business filings for all divisions within the Norlee Group of companies.

8) Attends meetings with the President as required, prepares timely meeting agendas, documents, and circulates meeting minutes to attendees, and manages action items an

9) Conducts research on clients and potential acquisition targets, as well as construction and electrical contracting market trends, as required.

10) Arranges travel logistics for the President including planning itineraries, booking flights, transportation and lodging as well as meeting/event planning.

11) Schedules, coordinates, produces, and distributes marketing materials as needed, manages, and prepares the "Norlee Group Insight" in print and digitally on a quarterly basis.

12) Supports new business development by assisting with professional writing and wordsmithing, sales presentations and budgeting processes, considering geographical region culture and influences.

13) Coordinates corporate marketing and social media campaigns including LinkedIn, Facebook, Twitter, and others.

14) Manages content on the corporate website.

15) Completes projects and special assignments in a timely manner by managing time and gaining the cooperation of others, problem solving and adjusting plans.

16) Reconciles the President’s credit card transactions to statements monthly.

17) Performs errands required for the corporation or President as required.

18) Manage pre-qualification process.

19) Responsible for coordinating all aspects of the quarterly Advisory Board Meeting.

Health & Safety Responsibilities An individual in this role is responsible for working within the established policies, procedures, and guidelines of the organization. The individual fulfills the Health & Safety requirements for all Employees as detailed in the organizations’ Health & Safety program.

QUALIFICATIONS:

To successfully perform and execute the requirements of this role, the individual must hold or exhibit the following qualifications:

Education and/or Experience A minimum of a university degree in Business Administration, or 10 years in an executive administration role, or the equivalent of education and experience. Human Resources management education would be an asset.

Must be a notary public or willing to obtain notary status on behalf of Norlee Group.

Language Skills An individual in this role must be highly organization with outstanding communication skills, both written and verbally.

A self-starter with high level of initiative and a proactive thinker, with extensive comprehension of office administrative practices to provide both verbal and written reports and business correspondence to the President. A calm individual with the proven ability to work under pressure, meet deadlines and the demands of the job.

Mathematical Skills Ability to read, interpret, understand, and report on periodic business financial statements including Balance Sheets, and Income (P&L) Statements. Proven skills to deal with and compute ratios, percentages, costs, gross margins, and gross profit. Software / Technical Skills High level of proficiency in Microsoft Office Suite applications including Word, Excel, PowerPoint, and Outlook. Basic understanding of graphics arts software such as Photoshop and In Design would be an asset. Experience with payroll software would be an asset.

Work Environment:

The environments are primarily office which is typically moderate in volume.

Air and/or ground travel within the US; 2-4 a year.

Compensation:

Salary range will depend on experience.
