We are hiring a full-time Transaction Specialist to provide comprehensive transaction and administrative support to select senior brokerage teams. The Transaction Specialist will maintain a pipeline of tenant representation, land, and occasional investment-sales transactions from lead generation through deal close. This role is ideal for a highly organized, detail-oriented professional who thrives in a client-driven, fast-paced environment and who can take ownership of the entire life cycle of a deal. This role is 100% in the office.
Required Qualifications
- Bachelor’s degree with 5 years in retail leasing, property management, paralegal work, or similar experience
- Active Texas real estate salesperson license strongly preferred (or willingness to obtain)
- Demonstrated ability to understand and interpret legal clauses and contract terms
- Typing Speed: 60 wpm
- Polished written, verbal, and interpersonal communication skills
- Proactive, analytical, and solution-oriented, with strong independent judgment and initiative
- Exceptionally organized and adaptable; able to manage multiple tasks and shifting priorities with composure, efficiency, and high attention to detail
- Team-oriented, yet capable of working independently
Key Responsibilities
General Brokerage Support:
- Prepare for and accompany brokers to in-person and virtual meetings, including client pitches, site presentations, and deal status meetings
- Manage brokers' calendars – scheduling calls, site tours, internal meetings, and reminders to keep workflows on track
- Serve as the in-house point of contact, promptly routing questions, information, and documents between brokers, clients, and third parties
- Assist brokers in developing, managing, and executing client expansion plans
- Draft tenant representation and listing agreements
- Draft commission agreements, generate invoices, and maintain annual commission pipelines
Pipeline & Data Management:
- Enter new assignments and update ongoing client activity into deal-flow tracking databases
- Maintain organized internal digital folders
- Canvas listing platforms and contact owners/brokers to collect and record site details such as rent/sale price surveys, comps, and other relevant data
Market Research & Site Packages:
- Conduct market research and compile reports, such as demographics, Placer.ai, traffic counts, and other informative documents
- Submit requests to and collaborate with Marketing and GIS/Research Departments for creation of brochures, offering memoranda, aerials, e-blasts, sign installations, and other relevant materials
- Assemble polished site presentations and tour books (print and electronic)
- Prepare real estate committee packages and track submission deadlines when applicable
- Ensure accurate and updated listings across Company and commercial listing platforms
Deal Coordination:
- Draft and redline letters of intent and Texas Real Estate Commission/Texas Association of REALTORS® forms under broker guidance
- Manage post-lease steps – abstract leases, introduce post-lease contact persons, and track store opening dates when applicable
- Monitor post-closing construction and opening timelines when applicable
Knowledge & Technical Skill Requirements
- Proficiency in Adobe Creative Suite (Photoshop, InDesign, Illustrator, Acrobat Pro)
- Advanced proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint, SharePoint, Teams)
- Comfortable using Zoom, Google Earth, Google Maps, Smartsheet, and cloud-based file-sharing
- Working knowledge of commercial real estate platforms such as: CoStar/LoopNet, Crexi, Commercial Gateway, SitesUSA, REGIS Online, LandVision, Zonda MetroStudy, Placer.ai, NearMap, ZipForms, Yardi - or the ability to learn quickly
