Brief Position Description:
The Payroll Accountant efficiently manages payroll operations across multiple states, ensuring accuracy and confidentiality. Tasks include collecting and uploading payroll data into the ADP system, inputting new employee information, and maintaining payroll records. Collaboration with ADP is essential for updating union calculations, resolving discrepancies, and providing payroll information. Reports summarizing earnings, taxes, and deductions are prepared regularly, along with weekly and monthly union benefits. Additionally, the team assists with employee audits, injury reporting, and reconciliations. They play a crucial role in audits, month-end closing, and supporting various departmental initiatives, all while adhering to GAAP and internal control policies.
Role and Responsibilities:
- Payroll
- Maintain multi-state payroll by collecting data from HQ and uploading data into the ADP payroll system, as well as retrieving data when necessary.
- Input new employees, including E-Verify and I-9 processing.
- Maintain employee payroll records by entering changes in wages, union benefits, exemptions, addresses, direct deposits, and job titles.
- Work with ADP to update embedded union calculations.
- Prepare payroll reports by compiling summaries of earnings, taxes, deductions, and expense reimbursements.
- Enter weekly and monthly union benefits on union remittance sites.
- Resolve payroll discrepancies by collecting and analyzing information and coordinating with site superintendents.
- Provide payroll information including employment verifications and unemployment audit responses.
- Maintain employee confidence and protect payroll operations by keeping information confidential.
- Assist in reporting employee injuries to insurance companies and support Workers’ Compensation claim documentation.
- Prepare weekly Federal Certified Payroll Reports and use LCP Tracker reporting when required.
- Report monthly payroll to Workers’ Compensation insurance carriers.
- Send payroll previews, timesheets, expense reports, and union benefit summaries to the Core President for weekly funding approval.
- Prepare reports and supporting documentation for union audits and external audits as required.
- Maintain knowledge of union reporting requirements, processes, and applicable rate structures.
- Head ADP Workforce Now projects to streamline payroll and HR processes, improve system utilization, and enhance reporting efficiencies.
Accounting
- Prepare and analyze journal entries, account reconciliations, and other financial reports as assigned.
- Assist in month-end closing.
- Maintain balance sheet account reconciliations to ensure accurate reporting and general ledger integrity.
- Investigate and respond to vendor inquiries, research and correct discrepancies.
- Assist in annual external audits and mid-year reviews.
- Review banking activities, accounts payable, and other departmental financial work.
- Support capital lease schedules and monthly payment tracking.
- Assist with business processes and accounting policies to maintain and strengthen internal controls, ensuring GAAP compliance.
- Participate in cross-departmental initiatives and financial process improvements.
Skills and Abilities:
- 1-3 years’ experience in union payroll
- Advanced knowledge of ADP Workforce Now Payroll, HR, Benefits Administration, Time & Attendance, Onboarding, Reporting, and Tax & Compliance modules.
- Advanced skills in Microsoft Office (specifically Excel).
- Must be a team player with a positive attitude.
- Ability to adapt to a constantly changing environment.
Physical Requirements:
- Ability to travel as required.
- Ability to sit, work, collaborate on a computer as needed.
- Ability to stand for periods of time as needed
Qualifications and Education Requirements:
- Prior experience in payroll and ADP Workforce Now
- Associates Degree
