Position Summary
Seeking a professional, highly organized and detail-oriented Finance Coordinator to manage day-to-day financial operations while also assisting leadership with monthly reporting, budget tracking, and process improvements. This position bridges transactional accounting functions with analytical and reporting support to operations, ensuring accuracy, transparency, and collaboration across all departments. The Finance Coordinator is responsible for maintaining day-to-day financial records, reconciling accounts, processing payables, reconciling receivables, maintaining billable and collection schedules.
Key Responsibilities
- Process and code vendor invoices, credit-card transactions, and reimbursements.
- Maintain accurate and up-to-date vendor, bank, and credit-card records.
- Reconcile all bank, credit card, and loan accounts monthly, investigating discrepancies promptly.
- Coordinate with Paychex for bi-weekly payroll processing and ensure correct posting to ledgers.
- Prepare monthly summaries, unpaid bill reports, and A/R aging reports for management.
- Financial reporting and analysis, including variance notes and department expense tracking.
- Support leadership with data-driven insights on expenditures, trends, and budget
- adherence.
- Assist with budgeting, cash flow monitoring, and KPI analysis.
- Provide light administrative support such as document preparation and correspondence.
- Support & Coordinate with vendors and other external financial partners.
- Support audits, reporting, and other financial compliance requirements as needed.
- Collaborate with management to improve accounting workflows and internal controls.
- Oversee vendor setup, W-9 collection, and contract documentation.
- Support periodic audits and internal control reviews.
Skills & Competencies
- Strong understanding of accounting principles and GAAP compliance.
- Proficiency in QuickBooks or similar accounting software, Paychex, and Excel.
- Excellent organizational, analytical, and communication skills.
- Ability to work collaboratively across multiple departments.
- High attention to detail and ability to meet multiple deadlines.
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field preferred (Associate’s accepted with experience).
- 3–5 years of progressive accounting or finance experience.
- Healthcare or nonprofit sector experience preferred.
- Experience with electronic document management systems a plus.
