About the Role/Team :
We are seeking a temporary office administrator for our Modena office in Italy to cover a period of maternity leave, starting in July/August 2026. The role is a full-time position and will require someone who is fluent in Italian and proficient in English.
Responsibilities:
- Front desk/ Main door reception
- Handling & distribution of mail
- General filing and office organization
- Order and stock office supplies
- Assist with travel bookings
- Manage distribution of all employee-related material (for office access, etc…)
- Support Health & Safety activities and Local obligations with local service provider
- Support Vendors selection and setup in NETSCOUT internal systems
- Prepare Purchase Order Requisitions for all expenses related to Site (rent, utilities, etc)
- Download & forward invoices/statements to Finance team as required
- Importing goods extra-EU (e.g. Lab equipment)
- Cooperate with local IT on shipping and receiving goods
- Liaison with building management on facility issues and arrange office maintenance work
- Manage membership to Industrial Association and related activities (e.g. access to funding for training)
- Assist Local HR with data filings, as needed
- Fleet management for the Modena Site’s company cars
- Support liaison between Corporate Functions and local Service Providers
- Help plan and implement company internal events
- Support local charity initiatives
- Support Site Manager on all other Site-related obligations
Preferred Qualifications/Skills:
- At least 5 years of experience as an Office admin
- Strong MS office skills
- Self-directed and takes initiative
- Ability to work well under pressure
- Ability to multitask and work autonomously
- Ability to work on a diverse team and with a diverse range of people
- Strong interpersonal, written and oral communication skills
- Fluent Italian, and proficient English
The successful candidate will be employed via our local Contract Agency partner in Italy.
