Schedule:

2-3 weekdays from 10am-4pm

 

Responsibilities (include but are not limited to):

  • Assist with licensing and compliance-related tasks.
  • Draft donation letters, appeals, and professional communications on behalf of the Executive Director.
  • Maintain and update donor, family, and community contact databases.
  • Manage email marketing campaigns through Constant Contact, including tracking and reporting.
  • Support fundraising initiatives, community events, and volunteer coordination.
  • Schedule meetings, appointments, and events while maintaining calendars.
  • Run occasional errands, order office supplies, and maintain inventory.
  • Prepare, organize, and maintain records and documentation.
  • Create marketing materials, flyers, and brochures using Canva.
  • Organize files, maintain labeling systems, and ensure accurate record keeping.
  • Perform data entry and maintain strict confidentiality with sensitive information.
  • Audit resident and employee files to ensure compliance and completeness.
  • Provide general administrative and operational support as needed.

Requirements:

  • Experience working with a donor database, specifically NonProfitEasy.
  • Comfortable drafting donation acknowledgment letters and conducting research for organizational needs.

Skills & Qualifications:

  • Previous experience as an Executive Assistant, Administrative Coordinator, or senior administrative role.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with Constant Contact and Canva for communications and marketing.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
