Administrative Assistant – Front Office

Position Summary:
We are seeking a highly organized and personable Administrative Assistant to join our front office team. The ideal candidate will be responsible for providing administrative support to ensure the efficient operation of the office, delivering exceptional customer service, and assisting with various administrative tasks. This is a role requiring strong communication skills, multitasking abilities, and a proactive attitude.
My Mobile MD provides primary care and psychiatric services to patient's in assisted living facilities.
Key Responsibilities:
- Administrative Support:
o Handle and route incoming and outgoing faxes in a timely manner.
o Answer and direct incoming phone calls, take messages, and respond to
inquiries.
o Prepare and send faxes, memos, and other correspondence.
- Collaboration & Communication:
o Collaborate with team members to support daily office functions and special
projects.
o Communicate effectively with both internal and external clients, ensuring
inquiries and requests are addressed promptly and professionally.
- Data Management:
o Update and maintain filing systems.
o Ensure proper documentation and data entry for office records.
o Managing and responding to incoming record requests (excluding formal
audits) as per company procedures and privacy policies.
o Send and track Skupervisory Sign-Offs (SSOs) to ensure proper
documentation is completed and filed.
- Miscellaneous Duties:
o Support other administrative duties and assist various departments as
needed to ensure smooth office operations.
o Creating facility/patient consent folders to be brought to communities by the
marketing team.
Qualifications:
- High school diploma or equivalent required; associate’s degree or relevant
certification is a plus.
- Minimum of 1-2 years of experience in an administrative assistant or front office
role.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Ability to multitask and work in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Positive, professional, and customer-focused attitude.
- Ability to work well independently and as part of a team.
Physical Requirements:
- Ability to sit for extended periods of time.
- Frequent use of office equipment such as computers, phones, and copiers.

Video Interviews will be held on August 11 from 3-6. The call will last approx 15min and the time slots are first come first serve.
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
