Description:
The Operations Coordinator will assist the Waste-Water department by coordinating the administrative flow of service from request intake through scheduling, documentation, and billing readiness. This role is responsible for helping to keep daily operations organized, accurate, and efficient by tracking work order details, supporting dispatch and scheduling, maintaining accurate records, and ensuring completed work is properly documented for invoicing and reporting.
The successful candidate will efficiently support the business's growing needs while maintaining confidentiality and protecting proprietary information.
Minimum Qualifications:
- High school diploma or GED required
- 2–3 years of experience in operations coordination, dispatching, scheduling, service administration, logistics, billing support, or a related role
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Ability to communicate effectively with field staff, management, and clients
- Proficiency in Microsoft Office, including Microsoft Teams and Excel
- Strong analytical and problem-solving skills
- Ability to work independently and collaboratively
- Valid driver’s license
- Applicant must live within a 25-mile radius of the office
- In the office full-time
Key Responsibilities:
- Assist with scheduling and dispatching
- Coordinate logistics for daily operations and job assignments
- Support invoicing processes, including reviewing, preparing, and submitting
- Maintain accurate records of work orders, service details, and documentation
- Adapt to new processes, support workflow changes, and contribute to ongoing improvements in departmental efficiency and consistency
- Track open, aging, and incomplete requests and follow up with the appropriate team members to keep work moving
- Communicate with field staff and management to ensure efficient workflow
- Help ensure consistency in how service information is entered, maintained, and handed off across the workflow
- Assist with billing support processes, including reviewing documentation and coordinating administrative closeout of completed work
- Identify opportunities to improve administrative workflow, reduce inefficiencies, and strengthen process consistency within the department
- Provide general administrative support to the Waste-Water team
