Role Summary
The Purchasing Manager will oversee all procurement activities for SaaS tools, software licenses, and any related hardware or physical goods. This role ensures the organization acquires the right technology solutions and equipment at the best value, manages vendor relationships, tracks renewals, and oversees shipping & handling logistics for any associated deliveries.

Key Responsibilities
Procurement & Vendor Management
- Manage the end-to-end procurement process for SaaS platforms, cloud services, software licenses, and related hardware.
- Evaluate and negotiate new SaaS contracts, renewals, license expansions, and hardware purchases.
- Develop and maintain vendor scorecards for performance, cost, compliance, and support.
- Ensure vendor compliance with data security, privacy, and contractual requirements.
Shipping & Handling
- Coordinate shipping, handling, and delivery logistics for hardware, onboarding kits, or promotional materials tied to SaaS solutions.
- Track shipments, manage timelines, and resolve any delivery or customs issues.
- Work with internal teams to confirm receipt, installation, and setup of shipped goods.
- Optimize shipping vendors for cost, reliability, and speed.
Cost Optimization & Budgeting
- Track SaaS and related hardware spend across departments, identifying cost savings opportunities.
- Consolidate overlapping tools, licenses, and hardware purchases to optimize budgets.
- Provide quarterly and annual spend reports with forecasting and ROI analysis.
Cross-Functional Collaboration
- Partner with IT, Security, Legal, and Finance to ensure alignment on procurement decisions.
- Collaborate with department heads to assess software, hardware, and shipping needs.
- Coordinate with InfoSec for vendor risk assessments and security audits.
Process & Policy Development
- Establish standardized procurement, shipping, and renewal processes.
- Maintain a centralized SaaS and hardware inventory with contract terms, renewal dates, shipping records, and owner accountability.
- Implement governance policies for acquisition requests and approvals.
Qualifications
- 5 years in procurement, purchasing, or vendor management (SaaS hardware experience preferred).
- Strong negotiation skills and contract management expertise.
- Understanding of SaaS licensing models and basic shipping/logistics operations.
- Familiarity with data privacy, security requirements, and shipping compliance (domestic/international).
- Strong Excel/Google Sheets skills and comfort with procurement/ERP/logistics systems.
Key Metrics for Success
- SaaS & hardware cost savings achieved vs. budget.
- Renewal and negotiation success rate.
- Vendor performance scores and SLA compliance.
- Reduction in redundant or unused spend.
- On-time renewal and on-time delivery rates.
- Shipping cost efficiency and delivery success rate.
