A private individual seeks a highly organized, discreet, and proactive Part-Time Personal Assistant to provide comprehensive personal, household, and administrative support. This role requires a trusted professional who can manage day-to-day logistics, be flexible, anticipate needs, and handle a wide range of responsibilities with minimal supervision.
Key Responsibilities
- Manage email inboxes, calendars, contacts, and scheduling; flag urgent or time-sensitive matters
- Handle incoming and outgoing mail, packages, and deliveries
- Assist with day-to-day personal tasks and special requests as needed
- Coordinate closely with another executive assistant to ensure calendar alignment, particularly around travel
- Oversee household staff, including daily task coordination, periodic walk-throughs, and quality checks
- Ensure the residence is well-maintained by proactively monitoring the home and grounds, identifying issues, and arranging repairs
- Maintain relationships with household vendors and service providers (e.g., plumber, landscaper, repair professionals, caterers), keeping organized records of services and interactions
- Monitor the property during travel, including deliveries, alarms, and scheduled maintenance
- Purchase and track gifts for family and friends; maintain organized records of gifts given and received
- Ensure household supplies are consistently stocked and maintain an accurate inventory (from pantry items to household essentials)
- Manage specialty household needs, such as wine inventory and coordinating purchases
- Pay household bills and expenses and prepare clear monthly expense summaries
- Track and organize receipts and vendor invoices
- Manage prescription refills and online medication services; liaise with medical offices as needed
- Oversee home technology systems, including Wi-Fi, printers, and in-home media; provide basic tech support (Apple ecosystem preferred)
- Coordinate in-home and off-site events such as dinners, social gatherings, and holidays
- Assist with travel planning and pre- and post-trip logistics
Qualifications & Attributes
- Proven experience as a personal assistant, house manager, or similar private support role
- Must live local to areas near Boston, MA and have reliable access to a car and possess a driver's license.
- Exceptionally organized, detail-oriented, and able to manage multiple priorities simultaneously
- Proactive, resourceful, and comfortable operating with limited direction
- Strong communication skills and sound judgment when handling confidential information
- Tech-savvy, with comfort supporting everyday digital tools and systems
- Professional, adaptable, and service-minded with a calm, solutions-oriented approach
