Executive Assistant
An investment firm is seeking an experienced Executive Assistant to provide high-level administrative support to a senior executive in a fast-paced, client-facing business environment.
This role is ideal for a highly organized, discreet, and proactive professional who has experience supporting senior leaders, managing competing priorities, and serving as a polished point of contact across internal and external relationships.
Responsibilitie
- Provide dedicated administrative support to a senior executive
- Manage a complex and frequently changing calendar, including scheduling, prioritization, and conflict resolution
- Coordinate meetings, conference rooms, materials, and related logistics
- Ensure the executive is prepared and on time for meetings, with necessary materials available in advance
- Serve as a professional liaison with clients, external executive assistants, and internal stakeholders
- Arrange business travel, including flights, hotels, car service, restaurant reservations, itineraries, and related materials
- Prepare and submit expense reports using expense management tools
- Monitor time-sensitive communications and provide occasional off-hours support when needed
- Anticipate upcoming priorities and help ensure preparation, materials, and deliverables are completed on time
- Provide backup support to other administrative professionals as needed
- Escalate issues appropriately and approach scheduling, logistics, and administrative challenges with a solutions-oriented mindset
Qualifications
- 5 years of experience providing direct administrative support to one or more senior executives
- Undergraduate degree or equivalent experience preferred
- Financial services or investment firm experience preferred
- Advanced Microsoft Outlook and Excel skills required
- Experience with expense processing platforms such as Concur, Databasics, or similar tools
- Strong written and verbal communication skills
- Excellent judgment, discretion, and ability to handle confidential information
- High attention to detail, accuracy, and follow-through
- Strong organizational, prioritization, time management, and multitasking skills
- Ability to work independently while collaborating effectively across all levels of an organization
- Comfortable working in a fast-paced, deadline-driven, client-facing environment
- Willingness to take on additional responsibilities as business needs evolve
Salary : $125,000 - $150,000
