Job Summary
The Student Services Assistant provides administrative support to Student Services through processing applications for admissions, creating applicant files in the database, admissions testing, assisting with Open Houses, processing transcripts, tracking background checks and drug screening, correspondence with the Occupational Health Nurse regarding health clearance and student and faculty notifications, CPR expiration notifications, and assisting with pinning and commencement ceremonies.
Essential Functions
- Processes student applications, creates files in database, and responds to applicant's questions
- Assists Nursing 1 faculty with new student orientation. Prepares sign in sheet, orientation packets, agenda, schedules speakers, notifies Security Guard of orientation dates, and arranges for Security Department at MMV to take ID badge pictures on the first day of orientation.
- Analyzes admissions data and creates reports.
- Assists faculty with proctoring when necessary
- Assists with Open Houses
- Responsible for correspondence with and record keeping of applicants and students
- Coordinates, distributes, and tracks submission of health clearance packages and CPR certification. Maintains current records
- Corresponds with Occupational Health Nurse regarding health clearance and notifies students and faculty of status
- Tracks CPR certification and notifies students and faculty of impending expiration dates
- Processes requests for transcripts
- Assists with pinning and commencement ceremonies
- Checks mail daily and distributes to appropriate associates
- Answers telephone and forwards calls to appropriate associate
- Tracks flu vaccinations of associates and students Performs other duties as assigned
Qualifications
- Associates Degree required
- Minimum one-year office experience required.
- Read write and speak English.
- Good oral and written communication skills.
- Good interpersonal and organizational skills required.
- Prior experience working with ERP database Systems required, Banner experience a plus
- Computer literacy required/ Word/ Access, Excel/Power Point/Outlook.
- Good attendance and punctuality required and the ability to adapt to a multi-paced environment. Flexibility with work hours required due to evening student population and Open Houses.
