Our client a premier law firm in Washington, DC is seeking a Administration and Operations Assistant will provide essential support to leadership and play a key role in ensuring smooth day-to-day operations. This role requires a proactive, resourceful, and detail-oriented individual with excellent organizational and communication skills. Responsibilities
- Coordinate employee events and logistics, including meetings, receptions, and holiday gatherings.
- Process, track, and reconcile expenses and invoices.
- Maintain operations databases, administrative lists, forms, and documents.
- Support onboarding of staff and legal personnel.
- Serve as a liaison for building and facilities operations, including maintenance requests, vendor communications, and directory updates.
- Partner with Office Services and Hospitality staff to support daily operations.
- Document and submit maintenance issues.
- Manage temporary ID badge inventory and office key distribution.
- Oversee inventory of office items, including art and furniture.
- Assist with office moves and maintain updated floor plans.
- Support emergency preparedness procedures and maintain related equipment.
- Assist with budgeting and accounting-related tasks.
- Provide general administrative support to leadership.
- Perform other duties as assigned.
Qualifications
- High School Diploma required; Bachelor’s degree preferred.
- 1–3 years of related experience preferred.
- Event planning experience a plus.
- Experience in a law firm or professional services environment preferred.
- Proficiency in Microsoft Word and Outlook (calendar management required). Familiarity with Excel, PowerPoint, and financial or recruiting systems a plus.
- Strong organizational skills with keen attention to detail.
- Ability to prioritize and manage multiple tasks under tight deadlines.
- Professional demeanor with excellent interpersonal and communication skills.
- Customer-service oriented and a strong team player.
- Good judgment and ability to escalate issues appropriately.
