The Executive Assistant III is responsible for providing exceptional administrative and strategic support to ensure the seamless operation of executive offices. In this role, you will act as a critical liaison, efficiently managing schedules, coordinating high-level meetings, and facilitating effective communication between executives and various stakeholders, both internal and external. This position offers a unique opportunity to contribute to our strategic initiatives and support the overall mission of the organization.

Responsibilities

  • Efficiently coordinate and maintain the schedules of C-suite executives, prioritizing appointments and balancing competing priorities to maximize their time.
  • Schedule and organize meetings, conferences, and events, including preparing comprehensive agendas, taking detailed minutes, and following up on actionable items to ensure timely completion.
  • Serve as the primary point of contact for internal and external communications for C-suite leaders, managing email correspondence, phone calls, and written communications professionally and discreetly.
  • Coordinate complex domestic and international travel logistics, including transportation, accommodations, and itineraries, ensuring all travel details are meticulously organized.
  • Oversee and manage expense reports and budget tracking, maintaining accurate financial records.
  • Prepare high-quality presentations, reports, and supporting materials for meetings and strategic initiatives, ensuring clarity and professionalism.
  • Assist with the tracking of project deadlines and milestones, working closely with stakeholders to facilitate the completion of organizational goals.
  • Work seamlessly with the Chief of Staff and other departmental leaders to ensure smooth information flow and collaboration across the organization.
  • Organize and coordinate department events, meetings, and team-building activities that foster engagement and collaboration.
  • Handle sensitive organizational information with the utmost discretion, always maintaining confidentiality.
  • Conduct research and provide insightful analysis to support strategic initiatives and informed decision-making processes.
  • Serve as a point of contact for internal and external stakeholders, representing the C-suite with professionalism and integrity.
  • Demonstrate excellent guest service to internal team members and patients.
  • Perform other related duties as assigned.

Qualifications

  • Bachelor's degree in business administration, communications, technology or a related field
  • 5 years of experience in an Administrative Assistant role
  • 5 years of experience supporting C-level executives, especially in Technology
  • Exceptional organizational and time-management skills, with keen attention to detail
  • Outstanding written and verbal communication skills, with the ability to interact effectively with diverse stakeholders
  • Proficiency in Microsoft Office Suite and experience with project management tools
  • Demonstrated ability to handle multiple priorities in a fast-paced environment
  • Strong analytical skills and problem-solving abilities
  • A commitment to maintaining confidentiality and exercising sound judgment
  • Answer and manage phone calls and emails
  • Greet visitors and coordinate meetings and appointments
  • Organize events and maintain calendars
  • Prepare and edit documents, reports, and presentations
  • File documents and manage office supplies inventory
  • Enter and update data in systems and maintain accurate records
  • Process invoices, assist with budget tracking, and ensure office equipment functionality
  • Provide support for special projects and research
  • Ability to work independently in a fast-paced, cross-functional environment

Physical Demands

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker must have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Ability to lift to 15 lbs. independently not to exceed 50 lbs. without help.
