We are excited to offer you a position of Assistant Facilities Manager for Olivewood Village. You will report directly to Gustavo Guzman, Facilities Manager, and be responsible to him for the overall site management of the three Olivewood buildings: · Brantwood, 88 N. Oakland with a total of 55 age-restricted full service residential units and approximately 8,000 square feet of ground floor retail space;· Easton House, 533 E. Union with a total of nine residential units and approximately 800 square feet of ground floor retail space;· Catalonia, 111 N. Madison with 81 residential units and approximately 800 square feet of office space. This position is vital to the success of Olivewood Village and the welfare of its tenants. You will play an important role in the smooth and efficient operation, maintenance, and safety of our three buildings, supporting Gus to insure optimal functionality, resident satisfaction, and regulatory compliance. Your key responsibility is executing prescribed maintenance activities from lists generated by the management team, including preventative maintenance. But additionally, you are expected to be frontline “eyes and ears” and report to Gus regularly elements of property management that warrant more attention. You will be a visible member in a small collaborative and flexible team, and in addition to your specific responsibilities, you will be asked to assist in overall residential requirements, such as resident move-ins and move-outs, set-up for special events, landscaping tasks and trash management. Specific tasks include: 1. Completing assigned work orders generated from resident requests for service, as well as preventative maintenance on the property by diagnosing the source or cause of the defect or problem, and making repairs in accordance with established policies, procedures, safety standards, and code requirements.2. Periodic handyman work in the fields of electrical, plumbing, HVAC, appliances, painting, drywall repair, flooring, irrigation repairs and general landscaping.3. Completing the “make-ready” process to prepare vacant apartment homes for new occupancy, starting with a written move-out inspection, a punch list of maintenance work needed, scheduling vendors and contractors as needed, obtaining needed supplies and materials, completing all maintenance tasks, and inspecting completed work.4. Following procedures for accessing and obtaining materials, supplies, equipment, tools, and other items from the property’s maintenance department by tracking inventory used, returning unused items to the established location, and notifying the Facility Manager about re-ordering needs.5. Completing documentation and other paperwork in a timely, accurate, and complete fashion so that service requests can be appropriately documented and tracked on App Folio.6. Assisting in maintaining the grounds, common areas and garages by picking up trash and debris, pressure-washing breezeways and pool areas, performing general cleaning, and painting curbs and signage as needed.7. Supporting cost-cutting and expense control programs by repairing rather than replacing equipment when possible, not being wasteful with materials and supplies, and practicing the correct use for tools and equipment.8. Thorough clean up after all work. Understanding the company’s software and keeping lists of tasks is very important to your success in this job. Using tools in their expected manner, with attention to all safety precautions, is vital. You will be expected to present yourself with a professional appearance. Should the company adopt a maintenance uniform or dress code, you will be required to comply. Safe shoes, eye protection and other protective clothing are also critical in your position.
