Position Summary:
The Bid Specialist is integral to the success of Midwest Tape-hoopla, this position is responsible for managing and preparing bid proposals. This role involves identifying Bid/RFP opportunities, conducting thorough research on customer data, and overseeing the project management of Bid/RFPs issued by libraries. Ensuring the timely completion of all required Bid/RFP documents and coordinating contracts are key aspects of this position.

Ensuring the timely completion of all required Bid/RFP documents and coordinating contracts are key aspects of this position.
Primary Duties and Responsibilities:
To perform this position successfully, an individual must fulfill the knowledge, skill, and/or ability requirements listed below.
- Understand and interpret the requirements of bid documents and manage all aspects of the bid process.
- Respond to and complete all bid/RFPs as they come in through various libraries and Bid services.
- Work with various departments, including accounting, marketing, sales, and legal, to provide succinct and beneficial responses to all bid requests.
- Compile comprehensive bid documents.
- Follow-up with all open bid opportunities to ensure that responses were completed as directed.
- Manage all ongoing opportunities in Salesforce.
- Track bid statuses and outcomes.
- Provide reporting as needed.
- Manage multiple bids simultaneously under tight deadlines.
- Demonstrate a thorough understanding of contract terms and display effective skills in managing contracts.
- Strong project management skills
- Must possess excellent written and verbal communication skills
- Ability to work independently and as part of a team.
- Proficient with Microsoft Office Suite
- Must possess excellent organizational skills
- Excellent follow-up and follow-through skills
- Must possess excellent time management skills
- Strong analytical and problem-solving abilities
- Website navigation (City/County/State)
- Bachelor’s degree in Business, Marketing, Sales or a related field or equivalent experience.
- 2-4 years in bid management or similar role
- Loopio or similar bid software, Salesforce
- 2 years of project management experience
