Job Title: Administrative Professional

Location: Baton Rouge Louisiana

Pay: $15–$18/hour (DOE – Depending on Experience)


General Description

This role is responsible for the daily administration of office and facility operations, supporting both field and laboratory teams. The Administrative Professional works closely with Branch and Department Managers to help enforce quality, health, and safety policies while ensuring all procedures set by the Administrative Director are followed.


Essential Duties

Office & Reception

  • Greet clients, employees, and vendors professionally
  • Answer, screen, and route phone calls; manage mail and correspondence
  • Ensure office equipment is stocked and operational
  • Assist with payroll and expense check distribution
  • Support and oversee company fleet coordination

Administrative Support

  • Organize and schedule meetings; manage incoming requests
  • Prepare documents and maintain accurate office records
  • Perform daily backup operations and logging
  • Distribute incoming documents and correspondence
  • Maintain and update databases
  • Complete additional administrative tasks as assigned

Personnel & HR

  • Maintain employee personnel files
  • Assist with onboarding and termination documentation
  • Support employees with benefits (health insurance, 401k, disability, etc.)

Financial & Billing

  • Manage collections of outstanding invoices
  • Issue purchase orders per department needs
  • Perform daily billing and monthly invoicing
  • Process vendor invoices for accounting
  • Submit employee time and expense reports
  • Enter time and expense data weekly

Project Administration

  • Assign project and client numbers
  • Set up and maintain project files and documentation systems
  • Organize and archive project, vendor, and employee records

Facilities & Supplies

  • Maintain office, coffee, and supply inventory
  • Coordinate copier maintenance and pest control services
  • Help maintain a safe work environment for all employees
Minimum Qualifications
  • High school diploma or equivalent
  • 1–3 years of relevant administrative experience preferred
  • Proficiency in Microsoft Office and accounting software
  • Strong written and verbal communication skills
  • Ability to multitask and support a team environment
