Summary of the Role
The Data Systems Administrator oversees and maintains HMIS, Resident Tracker, and Power BI systems to support organizational data needs. This role ensures data accuracy, prepares weekly quality reports, and generates ad hoc reports for leadership. The Administrator collaborates with programming teams to improve data collection and maintains dashboards in Power BI.
Additional responsibilities include managing data and reporting for various grants (Emergency Shelter, Long-Term Storage, FHLB), submitting monthly reports, and supporting audits. The ideal candidate is highly organized, technically skilled, and capable of working independently across multiple projects.

Manage Data Quality
· Manage and oversee as an administrator and maintain: HMIS-Homeless Management Information System, Resident Tracker and Microsoft Power BI.
· Between the systems, regularly prepare weekly reports for data quality checks across the organization.
· When requested, prepare ad hoc reports for leadership.
Grants and Data Coordinator
Classification: Full-Time Salary Exempt
Reports to: Chief Financial Officer
Effective Date: 2020
Facilitating Data Process Improvements
· Collaborate with program teams to streamline data collection processes.
· Create, manage and improve Microsoft Power BI dashboards.
· Email or meet with staff about persistent data quality issues.
Prepare Data and Grant Reports
1. Emergency Shelter Program Grant
o Import overnight shelter data on a weekly basis.
o Update core stat elements to HMIS profiles.
o Prepare and submit monthly reimbursement reports.
2. Long Term Storage Grant
o Prepare and submit monthly reimbursement and performance reports.
o Participate in annual audit.
3. Federal Home Loan Bank Grants
o Monitor ongoing data collection to ensure smooth annual audit process.
4. Other Grants
o In alignment with sections above, ensure the highest degree of accuracy and completeness of key data collection elements to facilitate smooth grant writing and reporting.

Qualifications
· Four-year degree in data or computer-related field of study, or commensurate experience
· Expert skill level in Microsoft Office Suite, Resident Tracker, Homeless Management Information System (HMIS), and other software platforms
· Experience with database administration
· Preferred experience with python or other programming languages
· Proven track record of creating reports and data measurement tools.
· Able to work under minimal supervision.
· Highly productive, organized, excels at handling multiple projects.
· Excellent, professional communication style, both verbal and written
· Strong communicator, collaborative workstyle
Working Conditions
