Role Overview
We are seeking an Office Manager to oversee daily operations at a Thousand Oaks–based site. This is a highly visible, hands-on role responsible for managing office functions, vendor coordination, and overall workplace experience.
You will serve as the central point of contact for onsite operations, ensuring the office runs smoothly, stays organized, and provides a positive environment for employees and visitors.
The position will begin as a 3 month contract and has potential for longer-term employment.
Key Responsibilities
Office Management & Site Operations
- Own and manage day-to-day office operations, ensuring a seamless and well-maintained workplace
- Serve as the primary point of contact for vendors, including janitorial, office/kitchen supplies, shipping/receiving, catering, and maintenance
- Coordinate recurring team needs such as weekly catered meals and onsite meetings (supporting ~12–24 employees)
- Partner with property management to address maintenance, repairs, and general site needs
- Manage office access, badging, and onboarding logistics for new hires, contractors, and visitors
- Maintain a clean, organized, and fully stocked office and kitchen environment
- Own and update the Office Manager Manual, ensuring processes and documentation remain accurate and current
- Act as the point of escalation for site-level operational issues
Team & Workplace Experience
- Support an onsite team of approximately 12–24 employees, ensuring a smooth and positive day-to-day experience
- Coordinate logistics for visiting employees and guests
- Assist leadership in implementing and reinforcing office policies and procedures
- Support team events, meetings, and internal initiatives
- Serve as a go-to resource for all workplace-related needs
Ideal Candidate
- 3 years of experience in office management, workplace operations, or similar role (experience in biotech, pharma, or a professional services environment preferred)
- Proven ability to manage vendors, facilities, and day-to-day office logistics independently
- Experience supporting small onsite teams (10–30 employees)
- Strong organizational and documentation skills with high attention to detail
- Proactive, resourceful, and able to manage multiple priorities in a fast-paced environment
- Strong communication skills and a team-oriented mindset
