The Talent Concierge is a key administrative and operational partner working hand-in-hand with the Account Manager to support a major, high-volume account from project kickoff through completion. Reporting to the Senior Director of Client and Talent Experience, this individual acts as the primary point of contact for all talent on the project—managing communication, engagement, and administrative logistics across the entire assignment lifecycle. Success in this role requires extreme organization, proactive time management, a high sense of urgency, and the confidence to pick up the phone and have direct, difficult conversations when challenges arise.
Key Responsibilities:
- Work hand-in-hand with the Account Manager as the primary administrative driver and talent contact for a specialized, high-volume project.
- Serve as the main point of contact for talent relationships, delivering high-quality, high-touch communication via phone, text, and email from offer acceptance to project completion.
- Support talent through the full pre-start process—keeping them engaged, driving compliance and paperwork completion with urgency, and conducting prep calls to ensure day-one readiness.
- Manage the full talent touchpoint cadence (First Day, First Week, First Month, and routine check-ins) to maintain continuous engagement throughout their assignment.
- Own the weekly timecard process, including collecting and managing timecard approvals to consistently hit 100% completion for weekly payroll close.
- Manage daily operational inquiries regarding payroll, benefits, time-off requests, and account policies.
- Act as the frontline contact for attendance issues and callouts, taking immediate action to address disruptions.
- Confidently conduct coaching calls to address performance or attendance concerns, deliver tough feedback, and assist with assignment terminations when necessary.
- Coordinate the end-of-assignment process, including conducting offboarding conversations, documenting separation details, and coordinating the return of candidate equipment back to the client.
- Ensure proper real-time documentation in Medix's ATS (Bullhorn) within one business day.
- Attend weekly internal meetings with sales and delivery teams to align on talent status, risk mitigation, and account updates.
- Review talent satisfaction (NPS) surveys, conduct closed-loop follow-ups, and gather talent referrals.
Goals:
- Weekly Timecards: Drive 100% timecard completion and approval for weekly payroll close.
- Actionable Delivery Touchpoints: Completion within one week of their due date.
- Account Support Metrics: Directly partner with the Account Manager to maintain positive placement retention, compliance deadlines, and account health.
- NPS Company: Daily efforts to support overarching talent NPS goal (70% for 2026).)
WHAT YOU’LL NEED:
- Minimum 6–12 months of administrative, staffing, recruiting, or high-touch customer support experience.
- Driven, self-motivated, and comfortable operating with a high sense of urgency.
- Exceptional organization and attention to detail, with the ability to manage multiple moving parts across a large contractor population.
- Strong communication skills and a fearless phone presence—unafraid to pick up the phone to handle callouts, coaching, or difficult conversations with tact and firmness.
- Strong administrative and time management skills, experience using ATS/database systems is a plus.
- Ability to work collaboratively in a tight-knit team environment.
