Administrative Assistant

This is a 12-month, full-time (40 hours/week), hybrid contract role located in Culver City, CA.

Summary

This role supports a creative design organization by providing administrative and operational assistance to multiple design leaders. The Administrative Assistant acts as a central coordination hub, helping ensure smooth day-to-day operations, effective communication, and efficient scheduling across design teams.

Our Ideal Candidate

  • 3 years of experience in administrative support, executive assistance, or office coordination
  • Passion for supporting creative teams and operational efficiency with a strong foundation in calendar management, communication, and organization
  • Proficient in Calendar, Mail, Keynote, Quip, Slack, and other office productivity tools, with strong administrative and coordination skills
  • Familiar with supporting leadership teams and coordinating cross-functional schedules
  • Skilled in collaborating with design teams, executives, and cross-functional departments
  • Able to work independently and manage multiple projects simultaneously
  • Flexible and adaptable to changing priorities, timelines, and stakeholders
  • Strong written and verbal communication with exceptional attention to detail
  • Trusted to handle confidential information with a high level of professionalism and discretion

Job Description

In this role, you will support multiple design leads and their teams by managing a wide range of administrative and operational tasks. You’ll partner with design leadership and cross-functional teams to ensure schedules, communications, and projects run smoothly across the organization.

This includes managing complex calendars, coordinating meetings, design reviews, and team interactions while resolving scheduling conflicts and adapting quickly to last-minute changes. You will serve as a central point of communication between design leads, team members, and other departments to ensure alignment and information flow.

You will also coordinate domestic and international travel arrangements, manage expense reporting, and maintain administrative documentation. Additional responsibilities include organizing large team meetings, coordinating catering and offsite events, assisting with office moves, and supporting studio operations as needed.

Education and Experience

  • Bachelor’s degree, Associate degree, or equivalent practical experience
  • Background in administrative support, executive assistance, or office operations
  • Experience supporting multiple leaders or teams in a fast-paced environment

Additional Requirements

  • This opportunity is located in Culver City, CA and requires hybrid work
  • The pay for this W-2 position is $40.00 per hour
  • This position may be eligible for PTO, health and dental insurance, and/or 401(k) benefits upon meeting certain length of service and hours requirements.
