General Purpose of Position:
The Office Administrative Assistant is responsible for assisting multiple departments as needed, the efficient administration and direction of incoming calls, the greeting of company guests and visitors as well as a variety of administrative tasks.
Job Duties and Responsibilities:
· Answers, directs, and transfers incoming calls in a professional and efficient manner, utilizing the 3-ring method so no calls get missed.
· Ability to handle 4 lines of incoming calls, approx. one per minute.
· Greets visitors and guests in a professional and courteous manner.
· Receives, sorts and delivers incoming mail to various departments.
· Assists with various administrative tasks including filing, typing (computer usage), mailing, copying and faxing.
· Light data entry and inventory tasks.
· Stocking the office and factory breakrooms with cups, utensils, coffee, etc. and keeping it clean, on a daily basis.
· Coordinates with cleaning company to request quotes, request extra work, and maintains inventory for bathroom/cleaning supplies.
· Coordinates office events and assists with setting up office meetings/trainings.
· Orders and maintains breakroom supplies, office supplies, inventory & employee requests.
· Assists with facilities and maintenance.
· Assist with ADP and time clock corrections.
· Perform all other duties as requested by management.
Educational Requirements:
· High School Diploma
Training &/or Experience:
· 2 years related experience
Knowledge, Skills & Abilities:
· Professional attitude and a team player.
· Ability to handle confidential information, has high standard/code of ethics.
· Excellent verbal communication skills, good speaking voice.
· Ability to work collaboratively with co-workers.
· Ability to multi-task.
· Strong attention to detail.
· Strong attendance and punctuality.
· Knowledge of Microsoft Office.
· Knowledge of ADP a plus.
