III. Job Summary
The Data Entry Specialist supports Malone University’s enrollment operations by accurately managing student records, processing incoming documentation, and assisting with key administrative workflows that support timely admissions decisions. This role requires exceptional attention to detail, strong organizational skills, and the ability to maintain accuracy while working efficiently in a fast-paced environment. The Data Entry Specialist also serves as a frontline support resource during scheduled office coverage, ensuring excellent service to students, families, and campus partners.
IV. Essential Duties and Responsibilities
- Execute daily data entry procedures to ensure timely and accurate processing of student records.
- Process academic transcripts, applications, and related student documents for undergraduate and graduate populations.
- Process standardized test results including ACT, SAT, and other relevant exam submissions.
- Manage incoming and outgoing mail related to admissions operations and the general admissions email account.
- Maintain systematic filing of physical and electronic records while ensuring data integrity and compliance.
- Oversee scanning, indexing, and commitment of documents into internal database systems.
- Accurately index, review, and update online application records.
- Provide front desk coverage during staff breaks, lunches, and scheduled/unplanned absences; assist guests and direct inquiries as needed.
- Assist with answering overflow calls for the University switchboard and admissions phone lines, ensuring courteous and timely response.
- Maintain working knowledge of NCAA compliance rules and regulations to support timely and accurate processing of prospective student-athlete documentation.

VI. Education and Experience (Preferred, not required)
