About the Role
We’re hiring a detail-oriented Health Information Management Clerk to support our HIM front office and ensure accurate, timely processing of patient medical records. In this role, you’ll help maintain the integrity of health information, provide excellent customer service, and support record retrieval across multiple systems—including microfilm, paper files, and electronic medical records (EMR). Your work directly supports patient care, compliance, and smooth hospital operations.
What You’ll Do
Medical Records Processing & Retrieval
• Prep paper medical records in alignment with established HIM policies and procedures • Perform quality checks on scanned records to ensure accuracy and completeness • Validate and verify scanned medical records across multiple systems • Retrieve, locate, and file patient records from microfilm, paper, and electronic sources
Front Office & Customer Service
• Provide friendly, professional customer service to internal and external requestors • Receive and process requests for information, ensuring timely follow-up • Answer phones, handle mail, and assist with correspondence for release of information • Maintain confidentiality and uphold HIPAA standards at all times
Cross-Functional Support & Operations
• Dispatch finished reports to designated departments or individuals • Check records in and out of the department following established guidelines • Support compliance with federal, state, and local regulations, including Joint Commission standards
Administrative Support & Supplies
• Assist with ordering and maintaining office supplies • Serve as backup for weekly supply ordering • Support general office operations and other duties as assigned
Release of Information (ROI)
• Process release-of-information requests using approved software and procedures • Ensure all ROI activities meet legal, regulatory, and hospital policy requirements

Qualifications
Required
- High School Diploma or GED equivalent
- Basic office and computer experience, including data entry and keyboarding
- Strong attention to detail, ability to work independently, and comfort working with the public
- 1–2 years of experience in a medical office or healthcare setting
Preferred
- Experience working with electronic medical record (EMR) systems
- Prior HIM or medical records experience
- Notary
