Administrative Coordinator - TBI/NHTD Waiver, Referrals and HousingJob Type: Temporary (Immediate start through February 2026)Pay Rate: $26/hourLocation: White Plains, NY | On-site (Monday-Friday, 5 hours per day)Job OverviewMadison Approach Staffing is recruiting for a TBI/NHTD Waiver Administrative Coordinator to support our client, a consumer-controlled nonprofit center for independent living that provides information and advocacy to persons with disabilities. This role will support the NYC Regional Resources Development Center (RRDC) for two Department of Health Waiver Programs covering the five boroughs of New York City. The ideal candidate will conduct initial referral screenings, manage housing qualification tracking, maintain waiver applicant files, and provide critical administrative support to help develop home and community-based services for individuals and families experiencing disabilities. This is a part-time temporary assignment with immediate start through February.Key ResponsibilitiesConduct initial referral screenings to individuals seeking waiver services in the NYC regionMaintain comprehensive files on all waiver referrals and applicants throughout the intake processFollow up with all referrals consistently until the intake process beginsTrack and follow up on TBI/NHTD subsidy Housing Qualification Standard Checklist and quality issuesMonitor TBI/NHTD housing emails and disseminate housing information to waiver providers across the five boroughsAssist with all waiver mass mailings and communicationsAssist with TBI/NHTD Housing Audit processes and documentationAssist with preparation and submission of all reports and tracking forms as needed to meet program requirementsAssist in arranging required trainings and workshops for NYC Waiver providers and community members as neededAttend required meetings and conferences for Department of Health Waiver programsConduct other duties as assigned by Lead RRDS/Senior RRDS that will promote and enhance the development of waiver programs in the NYC RegionRequired Skills & ExperienceEducation: Degree, certification, or equivalent professional experienceCommunication Skills: Demonstrated abilities in written and oral communication with ability to interact professionally with diverse populationsComputer Proficiency: Ability to use word processing programs and standard office softwareTransportation: Reliable transportation, valid driver's license, and current insurance coverageOrganizational Skills: Strong ability to manage multiple files, track referrals, and maintain accurate recordsDetail-Oriented: Meticulous attention to detail for tracking housing qualifications and maintaining documentationProfessional Demeanor: Ability to interact respectfully and professionally with individuals with disabilities, service providers, and community stakeholdersPreferred Skills & ExperienceExperience working with people with disabilitiesFamiliarity with Department of Health Waiver Programs (TBI/NHTD)Knowledge of housing programs and subsidies for individuals with disabilitiesExperience in social services, healthcare, or nonprofit sectorUnderstanding of person-centered planning and independent living philosophyBilingual capabilities (Spanish or other languages commonly spoken in NYC)Experience with database management or client tracking systemsWork Schedule & DetailsPart-time schedule: Monday through Friday, 5 hours per day (25 hours per week)On-site position in New York, NYTemporary assignment: Immediate start through February 2026May require occasional attendance at meetings or conferences outside regular scheduleTo Apply: Please submit your resume and cover letter to Madison Approach Staffing.
