The front desk Receptionist greets visitors and answers calls professionally, supports departments with administrative tasks, manages office supplies, schedules meetings, assist with coordination of end of day shipping deliveries, daily runs to the post office and bank, and acts as a first point of contact for customer inquiries.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Greeting and welcome visitors, clients, and guests in a friendly and professional.
- Maintain and file the visitor log to meet ISO 9001 requirements.
- Manage the front desk phone system and transfer calls to the appropriate
- Provide exceptional customer service by addressing inquiries, providing information, and resolving issues promptly and courteously as appropriate.
- Ensure visitors sign in and receive appropriate identification Security protocols, such as verifying visitor identities and maintaining confidentiality.
- Calendar management, schedule meetings, events, travel arrangements, and transportation as needed.
- Provide administrative assistance, including data entry, handle incoming and outgoing mail and packages, organizing, and filing at front desk.
- Prepare meeting materials, coordinate logistics for meetings, including conference room reservations, and order and pick up food.
- Act as a first point of contact for customer inquiries, directing them to appropriate team members.
- Provide basic information about products and services when needed.
- Make daily trips to the post office and bank as needed by the accounting department.
- Conference room preparation for meetings, and visitors.
- Keep the front desk and office area neat and clean.
- Restock visitor bathroom with supplies daily.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High school diploma or equivalent, previous office or receptionist experience preferred.
- Professional communication and customer service skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Valid driver’s license and reliable transportation (for daily errands).
- Maintaining a high level of confidentiality and discretion is a must.
