About The Role
In this role, you will provide professional facilities management support to the campus and general facilities services operations.
As a key member of the Facilities team, the role is focused on delivering exceptional customer service to the client while ensuring the workplace environment offers optimal value for the investment made.
Main Responsibilities Will Include
- Respond to calls and emails directed to the Facilities Department regarding campus inquiries, repairs, and other service requests.
- Receive and process work request information from the Work Order system.
- Schedule, coordinate, and distribute work orders to the Facilities Operations.
- Follow up with Facilities Operations and end-users to maintain accurate tracking logs.
- Update system reports as required.
- Distribute monthly Preventive Maintenance and Resiliency tickets to the Facilities Operations team and/or external vendors.
- Track work order status and enter engineering notes, including hours worked.
- Ensure timely and accurate ticket completion entries in the Work Order System
- Record data in designated electronic folders to support audit requirements.
- Track compliance data and input it into Excel spreadsheets and online databases.
- Initiate, maintain, and assist with the upkeep of departmental project files in accordance with company records retention policies.
- Be available for overtime work and respond to work-related emergencies as mandated by the Corporate Facilities Management Team.
- Perform other duties as assigned by the Corporate Facilities Management Team.
- Work effectively under tight deadlines and collaborate with various stakeholders.
- Manage demanding schedules across different systems and responsibilities in a professional, team-oriented manner.
- Prioritize and allocate time and resources to meet fluctuating workloads.
- Apply effective people management techniques.
- Deliver customer-focused service and foster positive relationships with clients and colleagues.
- Demonstrate attention to detail and take ownership of processes within your area of responsibility.
- Share site, client, and project knowledge with fellow FM team members.
- Establish and maintain strong working relationships with both Macro and client staff.
Salary budget for this role is between $55,000 and $65,000 per annum.
About You
The ideal candidate will have:
- The ability to manage resources to promote flexibility and cooperation.
- Excellent people management skills.
- Experience in a corporate facilities or working within outsourced facilities management environment.
- Advanced PC skills, particularly with photo management software, databases, Microsoft Office, Windows, and hardware/software configurations.
- A demonstrated ability to work with related technology and facilities applications.
Essential
- Administrative experience in the Facilities Management industry or a similar field.
- A relevant educational background and/or experience.
- The ability to read, analyze, and interpret technical procedures or governmental regulations.
- Proficiency in Microsoft Office and Outlook, with the ability to work with spreadsheets, databases, and generate reports.
Desired
- Experience working within a facilities management team.
- Previous experience in an outsourced contract environment.
- A high school diploma or equivalent.
- IFMA or other industry-related facilities management certification (preferred).
- Flexibility to support projects after hours and on weekends, as required.
