In this role, you will effectively manage vendors to ensure that exemplary facilities management services are provided to the Client. You will manage resources and promote an ethos of teamwork and instil a culture of continuous improvement.
Also, you will offer support and guidance to ensure that workflow is delivered effectively and assist the team so that they achieve their full potential. You will develop a relationship built on trust with the Client in addition to contributing to the development and success of Macro by supporting the management team through business development and operational activities.

About The Role

Main Job Responsibilities
- Proactively contribute to achieving and maintaining ISO 14001 accreditation through periodic site inspections, audits and adherence to HSE legislation.
- Service Delivery: Oversee the operational management of both internal and external service delivery teams, ensuring continuous improvement in service quality to exceed customer expectations.
- Vendor Management: Ensure value for money by robustly managing suppliers and measuring their performance to achieve optimal results.
- Risk Management: Minimise risks and maintain or improve profitability against agreed targets through effective risk management strategies.
- Relationship Management: Foster and maintain strong relationships with clients, suppliers, and team members to ensure smooth operations and collaboration.
- Strategic and Technical Support: Provide general advice and support to customers, peers and team members on strategic and technical matters.
- Customer Service: Consistently deliver excellent customer service, ensuring high levels of customer satisfaction.
- Ensure compliance with all relevant legislation, Macro processes, and life safety procedures.
- Build and maintain positive relationships with the Client Landlord.
- Share knowledge and best practices with Facilities teams across all sites to promote continuous improvement.
- Oversee the management of vending and beverage services to ensure smooth operations.
- Comply with all Macro processes and procedures to maintain operational standards.
- Provide support to all team members as needed to ensure cohesive and efficient operations.
- Implement and manage the commuting and ride share program to promote sustainable transportation options.
- Manage the maintenance of all mail equipment and arrange service calls as necessary.
- Manage fm24 help desk tickets assigned to the site, ensuring timely resolution within service level agreements.
- Maintain the central office supply room, ensuring it is well-stocked and organized.
- Provide coverage for the receptionist as needed to ensure continuous front desk operations.
- Cross-train in CSubs and UPS processes with the manager to ensure operational flexibility.
- Conduct ergonomic assessments as requested to ensure a safe and comfortable working environment.
- Maintain security systems, reports and stocking levels to ensure site security.
- Coordinate with equipment repair vendors for any necessary repairs or corrective actions.
- Ensure new hire office supply kits are always in stock, deliver kits on the first day and maintain tidy and neat vacated offices and stations.
- Provide general support on special projects as necessary to meet organizational goals.
- Manage the procurement, stocking and issuance of office supplies to ensure availability.
- Provide backup support for Mail Services and Facilities Assistant as needed.
- Support the Reproduction Centre during times of high volumes to ensure timely completion of tasks.
- Serve as the primary interface for new employee, guest and contractor badge distribution, logs, and daily reconciliation.
- Fulfil orders for Client Kits (Client Earning Statement Requests by Potential Clients).
- Manage contact for document storage and destruction to ensure compliance with organizational policies.
Candidates should possess the following:
- M&E experience with HVAC, Generators, Lighting, and UPS Systems is a plus.
- Strong ability to communicate effectively and work collaboratively as a team player.
- Excellent skills in managing people and fostering a positive work environment.
- Proven experience in a customer-facing role, demonstrating flexibility and a positive attitude.
- Experience in business development and possess an established network within the FM industry.
- A higher level of education is required.
- Desired qualifications include IFMA CFM or FMP designations, as well as any recognised HS&E qualifications.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Proficiency in writing routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees within the organization.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
- Capability to deal with problems involving several concrete variables in standardized situations.
- Knowledge of Contract Management systems, Database software, Internet software, Spreadsheet software and Word Processing software is essential for performing this job successfully.
