About The Role

In this role, you will ensure that effective and customer-focused facilities services are delivered on site in accordance with contract specifications and agreed service levels.

You will provide a highly professional and efficient reception service, welcoming all visitors and handling internal and external calls as required.

Main Responsibilities Will Include

  • Receive and welcome all visitors, creating a favourable first impression of the company through a friendly, helpful and professional approach to both visitors and staff.
  • Answer telephones in a professional and timely manner, ensuring customer inquiries are handled in line with service standards and agreed response times.
  • Issue visitor and vendor badges, ensuring names and details are accurate and properly logged in the visitor system.
  • Follow procedures to contact the appropriate department if a visitor’s host is unavailable.
  • Resolve problems or complaints by handling queries within the scope of knowledge and experience and escalating issues when appropriate.
  • Ensure maintenance and service contractors have the required documentation for building access and work authorization.
  • Maintain a neat and tidy reception area, ensuring desks are clutter-free and seating areas are regularly cleaned and cleared of rubbish.
  • Check that lighting at the reception desk, reception area, and display cabinets is operational and report any faults to the FM helpdesk.
  • Support the team with requests that may require additional working hours when necessary.
  • Always ensure compliance with health and safety requirements.
  • Perform any other appropriate duties as requested by the client or manage
  • Deliver a customer-focused service and foster positive relationships with clients and colleagues.
  • Demonstrate attention to detail and ownership of assigned processes and responsibilities.
  • Promote teamwork and collaboration within Macro and vendor teams.
  • Comply consistently with Macro processes and procedures.

Site Specific Responsibilities:

  • Manage all Reception and Front of House duties for the Client’s office.
  • Manage the meeting room calendar and ensure conference rooms are clean and presentable.
  • Coordinate catering and beverage services for office meetings.
  • Maintain and order general office supplies, kitchen and beverage supplies.
  • Process outgoing mail and overnight packages, as well as sort and sign for incoming mail and packages as needed.
  • Process outgoing mail and overnight shipments, and receive, sort, and sign for incoming mail and packages.
  • Provide basic oversight of HVAC/UPS operations, including placing service calls and scheduling preventive maintenance.
  • Coordinate service calls for office equipment such as copiers, refrigerators, and ice machines as needed.

The salary for this role ranges from $50,000 - $55,000 per year.

About You

The ideal candidate will have:

  • Relevant experience in an office environment.
  • Strong communication skills and the ability to work effectively as part of a team.
  • Excellent people management skills and experience in a customer-facing role.
  • A flexible, positive, and proactive attitude.
  • Ideally, business development experience and an established network within the Facilities Management (FM) industry.
  • High school diploma or equivalent.
  • Ability to effectively present information in one-on-one situations to customers, clients, and other employees of the organization.
  • Ability to apply common-sense understanding to carry out detailed but uncomplicated written or oral instructions.
  • Ability to deal with problems involving a limited number of concrete variables in standardized situations.
  • Working knowledge of internet software, inventory systems, spreadsheet software, and word processing applications.
