About The Role
In this role, you will be responsible for supporting day ‑ to ‑ day operations of Miami office. You will oversee reception and common areas to deliver exemplary facilities management services and a high ‑ touch, polished front ‑ of ‑ house experience. The role provides executive ‑ level administrative support in a professional, confidential environment while building strong relationships with the Client. You will manage resources effectively, foster teamwork, promote a culture of continuous improvement and ensure safe, efficient workflow that contribute to Macro’s operational excellence
Main Responsibilities Will Include
- Provide full ‑ time reception coverage; greet and support C ‑ suite and VIP guests with a high ‑ hospitality, polished approach.
- Maintain a clean, organized reception and visitor area; uphold the clear desk policy.
- Monitor email inboxes and conference ‑ room booking systems throughout the day.
- Register visitors and contractors; issue badges and manage access cards, including programming, auditing, and tracking.
- Provide bilingual (English/Spanish) communication support, including translation as needed.
- Assist with administrative support, including scheduling, meeting coordination, document handling, and correspondence.
- Maintain confidentiality and professional judgment in all executive interactions.
- Conduct routine inspections of conference rooms, pantries, copy areas, and common spaces; submit work orders as needed.
- Manage incoming and outgoing mail and courier packages, including accountable items.
- Clean coffee machines and restock beverages, snacks, and office consumables.
- Check printers daily and replenish paper and toner as needed.
- Liaise with and maintain strong relationships with property management and external vendors.
- Order pantry and office supplies to maintain established inventory levels.
- Support special projects and tasks as directed by the Client or Macro leadership.
Salary is $65,000 - $72,000 annually.
About You
The ideal candidate will have:
- High school diploma or equivalent
- Bilingual proficiency in English and Spanish
- Demonstrated experience providing high ‑ touch, hospitality ‑ driven support to C ‑ suite executives, VIP guests, and/or board ‑ level leadership.
- Experience working within an Office Services, Facilities, or Property Management team.
- Proficiency in internet-based software, including Outlook, Teams, Word, Excel, and PowerPoint.
- Excellent interpersonal, verbal, and written communication skills.
- The ability to reflect on lessons learned and be open to feedback.
- A generous approach to time and knowledge-sharing, with a willingness to mentor and support other's growth.
- A strong sense of ownership in resolving issues and the ability to hold others accountable when appropriate.
- Consistent attention to operational fundamentals that safeguard the business.
- The confidence to speak up when seeing or hearing anything that does not reflect Macro’s values.
