About the role:
The Operations Scheduling Coordinator provides administrative and operational support across Catering Operations, Culinary, and Facilities to ensure seamless day-to-day execution of business activities. This role is responsible for building the foundational “shell” of schedules, coordinating operational details, and supporting communication across departments. The Event Operations Coordinator works closely with the Event Staffing Operations Manager by preparing initial schedules and workforce frameworks, ensuring all information is accurate, organized, and ready for final staffing execution. This position plays a critical role in keeping teams aligned, organized, and set up for success by managing logistics, supporting reporting, and ensuring operational details are consistently maintained across systems.
Position Essential Functions:
Staffing & Scheduling:
- Build and maintain the initial schedule “shells” for all business units including Catering, WestWorld, Nibblers, and Facilities, based on event details, BEOs, and operational needs.
- Input accurate event details including timing, locations, departments, and general staffing requirements into scheduling systems (Nowsta or equivalent).
- Ensure all schedules are structured, organized, and prepared for review and final staffing assignments by the Event Staffing Operations Manager.
- Update schedules as event details evolve, ensuring all changes are reflected accurately and timely.
- Maintain consistency in naming conventions, tagging, and structure across all schedules.
Cross-Functional Coordination:
- Serve as a central administrative support partner to Catering Operations, Culinary, and Facilities teams.
- Coordinate operational details between departments to ensure alignment on event needs, timelines, and logistics.
- Support clear and consistent communication of schedules, updates, and operational changes across all departments to ensure alignment and execution readiness.
- Support distribution of weekly operational summaries, schedules, and updates to department leaders.
- Support management of the staffing phone by handling call-outs, shift changes, and real-time scheduling communication in alignment with direction from the Event Staffing Operations Manager.
Administrative Support:
· Maintain accurate records within scheduling and operational systems (Nowsta, UKG, Caterease, etc.).
· Assist with data entry, reporting, and tracking related to staffing, operations, and event execution.
· Support documentation of operational notes, changes, and follow-ups.
· Assist in preparing reports related to staffing, scheduling accuracy, and operational activity.
Operational Support:
· Assist Catering Operations, Culinary, and Facilities leaders with administrative tasks and special projects.
· Support process improvements related to scheduling, communication, and operational workflows.
· Maintain a high level of organization and attention to detail across all assigned tasks.
· Participate in seasonal initiatives and company-wide operational projects as assigned.
· Assist with troubleshooting scheduling discrepancies or missing information prior to event execution.
· Support on-site check-in or coordination needs as required for high-volume or complex events.
· Build detailed, full timelines of events using BEOs as the foundation to ensure alignment across Catering, Culinary, Facilities, and Operations teams.
