Position Overview:

The Purchasing Specialist is responsible for overseeing procurement and supply chain processes to support ongoing projects and operational needs. This role focuses on sourcing materials, managing supplier relationships, processing quotations and purchase orders, and ensuring timely delivery of goods aligned with project timelines.

This position works cross-functionally with engineering, project management, accounting, and operations teams. Bills of Materials (BOMs) are issued by engineering, and all procurement activity is managed through the organization's ERP system.


Key Responsibilities:

  • Manage end-to-end procurement activities, including issuing RFQs, evaluating supplier proposals, selecting vendors, reviewing pricing, and creating purchase orders.
  • Build and maintain strong supplier relationships, monitoring performance based on cost, quality, delivery times, and dependability.
  • Identify and onboard new suppliers in collaboration with engineering and operations teams.
  • Review BOMs and ensure that materials are sourced accurately and in a timely manner.
  • Evaluate quoted pricing against project budgets and escalate any discrepancies when necessary.
  • Align procurement schedules with project timelines and manufacturing requirements.
  • Negotiate pricing, delivery timelines, and contract terms while balancing cost, quality, and availability.
  • Coordinate the delivery of materials to production facilities, warehouses, or customer locations.
  • Track shipments from the supplier through to final delivery.
  • Process goods received within the ERP system and maintain accurate procurement and inventory records.
  • Work with accounting to complete supplier setup processes and manage credit applications when required.
  • Monitor inventory levels and support logistics, packing, and distribution activities.
  • Assist with import and export processes for both materials and finished products.
  • Maintain organized and accurate procurement documentation, including purchase orders, amendments, shipment notifications, and receiving records.
  • Produce regular reports and documentation related to procurement activities.
  • Ensure all purchasing processes comply with internal policies and supply chain procedures.
  • Represent the organization professionally when engaging with vendors and external partners.


Qualifications & Experience:

  • Associate degree in Supply Chain Management, Business Administration, or a related field, or equivalent practical experience.
  • Typically 2-6 years of experience in purchasing, procurement, or supply chain roles.
  • Solid understanding of procurement and supply chain fundamentals.
  • Experience in project-based or engineered-to-order environments is advantageous.


Supervisory Responsibility:

  • This role does not include direct management responsibilities.


Cybersecurity & Compliance:

  • Follow internal information security policies and procedures, particularly when handling systems or documentation.
  • Ensure procurement records and sensitive commercial data are stored securely.
  • Maintain confidentiality of supplier agreements, pricing structures, and contract details.
  • Report any potential cybersecurity risks or concerns to management promptly.

Technical Skills:

  • Proficiency in Microsoft Office tools (Excel, Word, Outlook, PowerPoint, SharePoint, OneDrive).
  • Experience using ERP systems for purchasing and inventory management (training may be provided).
  • Ability to manage and maintain accurate digital records.


Travel Requirements:

  • Occasional local travel may be required.


Work Environment:

  • Work is typically performed in an office setting with a moderate noise level.


Physical Requirements:

  • Ability to work at a computer for extended periods.
  • Regular use of hands for typing and handling documents.
  • Occasional standing, walking, and reaching.
  • Requires close vision and ability to adjust focus.
