Overview: Under the direct supervision of the Lower Elwha Housing Manager, the Community Housing Support Coordinator serves as the primary point of contact for tenants, tenant applicants, and program participants. This position supports compliance with the Lower Elwha Housing Department’s Indian Housing Plan (IHP), NAHASDA regulations (24 CFR Part 1000), HUD housing quality standards (HQS), the Washington State Housing Finance Commission, and the Lower Elwha Housing Department’s Policies and Procedures. This position ensures accurate tenant file management, fair admission procedures, timely recertifications, lease compliance monitoring, as well as professional tenant, program participant, community member, and outside entity communications to maintain regulatory compliance and departmental integrity. The HSC performs clerical and other administrative duties such as answering phones, data entry, newsletter articles, and working with families on an individual and/or group basis.
ESSENTIAL PERFORMANCE DUTIES
- Maintain an updated and prioritized waiting list of applicants for the rental units provided when families are selected for vacant or newly developed units.
- Maintain Housing Software HDS Doorways and an updated tenant list to include phone numbers and address.
- Process payments in the form of cash, check, or card, according to LEKT credit card policy, from the payee and accurately record payments in the tenant’s ledgers and in the HDS doorways housing software.
- Document eligibility determinations within 10 business days.
- Respond to tenant inquiries within 2 business days.
- Prepare work order within 1 business day of maintenance request.
- Maintain housing software and an updated tenant list to include contact information, phone numbers and addresses.
- Schedule all required informational meetings with tenants to explain the rental program, assure that the selected families have a full understanding of the Occupancy Agreement. Ensure that the selected families understand their obligations regarding property care and maintenance.
- Assist with annual recertification for all occupants including family composition, income, releases and calculation of monthly rent payments.
- Maintains current and accurate tenant files.
- Process mailings for current tenants and other program participants. Which could include general letters, memos, delinquency notices as well as follow-up letters and other correspondence pertaining to housing work.
- Corresponds with maintenance staff on scheduling inspections of units for cleanliness, family composition and adherence to lease agreement.
- Prepares work order requests for maintenance staff.
- Process outgoing mail, sort and distribute incoming mail for the housing department.
- Order supplies for office and rental units as needed.
- Work independently, or as a part of a team to complete assigned projects.
- Other duties as assigned by the Housing Program Manager.

DESIRED QUALIFICATIONS
- High School diploma or GED.
- Minimum of 2 years of documented clerical/administrative duties.
- Computer/data management experience including Microsoft Office (Word and Excel).
- Must be able to work with multiple projects and priorities in fast paced environment.
- Ability to read, understand and follow oral and written instructions.
- Current and valid Washington State driver license with no restrictions.
- Basic filing skills using alphabetical and numeric.
- Ability to perform data entry tasks as necessary.
PHYSICAL REQUIREMENTS
- Must be able to lift 20 pounds.
- Stamina to work seated at a desk/computer station environment that requires repetitive motions. Involves sitting, standing, walking, talking, hearing, using hands to handle or operate objects, tools or controls, and reaching with hands and arms.
