Salary: $70,000 - $75,000
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones.
- Prepare meeting materials, presentations, agendas, and detailed notes; track action items and deadlines.
- Screen and prioritize emails, calls, and requests; respond on behalf of leadership when appropriate.
- Coordinate domestic and international travel, including flights, accommodations, itineraries, and expense reports.
- Organize and maintain confidential files, documents, and records.
- Draft, proofread, and edit correspondence, presentations, and reports.
- Support daily office operations, including ordering supplies and managing vendor relationships.
- Assist with special projects, research, data organization, and reporting as needed.
- Serve as a primary point of contact between executives and internal/external stakeholders.
- Build strong working relationships across teams to facilitate communication and streamline workflow.
- Professionally represent the executive team in all interactions.
- Track project timelines, deliverables, and follow-ups to ensure deadlines are met.
- Identify opportunities to improve administrative processes and implement efficiency enhancements.
- Handle confidential and sensitive information with discretion.
Qualifications
- 3 years of experience supporting executives or senior leaders.
- Strong proficiency in Microsoft Office Suite and/or Google Workspace.
- Exceptional organizational, time management, and multitasking skills.
- Excellent written and verbal communication abilities.
- Ability to work independently, problem-solve proactively, and remain adaptable.
- Experience coordinating complex schedules and travel arrangements.
- Professional demeanor and proven ability to handle confidential information.
