Legal Administrative Assistant (Onsite – Lake Oswego, OR)

Direct Hire | Full‑Time


LHH is working with a great, well‑established company to identify a Legal Administrative Assistant to support its in‑house Legal Department at the corporate headquarters in Lake Oswego, Oregon. This is a highly visible, trusted role supporting senior legal leadership in a collaborative, low‑turnover environment.




About the Role

This position provides executive‑level administrative and operational support to a lean in‑house legal team, including senior attorneys and a corporate paralegal. The role has a strong emphasis on legal billing, financial reporting, compliance coordination, and day‑to‑day legal administration. The Legal Administrative Assistant will work closely with legal, finance, and operations stakeholders and must be comfortable handling confidential and time‑sensitive matters.



This is a fully onsite role, particularly during onboarding, in a professional corporate office setting.



Key Responsibilities

  • Manage legal billing processes, including invoice intake, tracking, approvals, accruals, and reporting using Oracle Fusion
  • Support monthly, quarterly, and annual legal reporting, audit letters, and budgeting projections
  • Coordinate legal vendor setup and maintenance (PayModeX experience a plus)
  • Maintain organized and accurate legal records through consistent document control and data management
  • Assist with annual financial and ethics questionnaires and related reporting
  • Support ethics and compliance workflows, including hotline intake, tracking, and quarterly reporting (EthicsPoint preferred)
  • Receive, route, and track lawsuit complaints, subpoenas, and other legal service documents
  • Maintain internal legal and HR content using Microsoft SharePoint
  • Submit monthly EHS emissions reports using GenSuite
  • Provide comprehensive administrative support, including:
  • Calendars, meetings, travel, and expense reporting
  • Drafting correspondence, spreadsheets, and presentations
  • Coordinating internal and external meetings and events
  • Managing files, records retention, and mail distribution
  • Provide backup support to the Corporate Paralegal and Office Receptionist as needed
  • Assist with special projects and cross‑departmental administrative support



Qualifications & Skills

  • Minimum 5 years of administrative assistant experience
  • Above‑average proficiency in Microsoft Excel and Word (required)
  • Proficient with Outlook, Teams, and Adobe Acrobat; PowerPoint and Visio experience preferred
  • Experience working with billing, accounting, or finance processes strongly preferred
  • Legal or corporate executive environment experience preferred
  • Strong attention to detail, organization, and follow‑through
  • Ability to work independently, manage competing priorities, and exercise sound judgment
  • High degree of professionalism, discretion, and confidentiality
  • Reliable attendance and punctuality



Education & Experience

  • College degree or equivalent professional experience considered
  • Legal administrative experience preferred but not required



Work Environment & Schedule

  • Fully onsite in Lake Oswego, OR
  • Corporate office environment
  • Occasional overtime may be required
  • High‑confidentiality, fast‑paced role with multiple concurrent priorities
  • Occasional travel may be required



Compensation & Benefits

  • Direct Hire
  • $35–$42 per hour, depending on experience
  • 10% annual bonus
