Job Description:
LHH Recruitment Solutions is working with a highly reputable, well-established Portland law firm seeking an experienced Human Resources & Operations Administrator to join its team. This position will support payroll, benefits administration, human resources, and general office operations within a professional services environment. The selected candidate will work closely with an approachable, kind, and knowledgeable leader, as well as other members of firm leadership.
This role could be an excellent growth opportunity for a candidate with at least five years of experience or a lateral move for a more experienced professional. The ideal candidate has prior law firm experience, strong payroll and benefits knowledge, advanced Excel skills, and the ability to manage confidential information and competing priorities.
Responsibilities:
- Administer biweekly and year-end payroll, including reviewing timekeeping data, processing compensation and deductions, tracking leave and overtime, and supporting multistate payroll compliance
- Partner with finance and the payroll provider to complete general ledger reconciliations, investigate discrepancies, troubleshoot system or tax issues, and ensure accurate payroll reporting
- Administer employee benefit and retirement programs, including new-hire enrollment, employee changes, terminations, annual open enrollment, required notices, compliance reporting, and vendor coordination
- Coordinate recruiting and onboarding activities, including job postings, applicant screening, interview scheduling, candidate communication, orientation, employment documentation, and benefits enrollment
- Maintain confidential personnel, payroll, benefits, and leave records while assisting with employee policies, statutory leave programs, workers’ compensation, unemployment claims, and other HR matters
- Support employee training, internal programs, meetings, company events, and additional HR or operations projects
- Coordinate facilities and office operations, including maintenance requests, vendor relationships, furniture procurement, office supplies, and event-related purchasing and inventory
- Prepare reports and analyze payroll, benefits, HR, and operational data for leadership and compliance purposes
Qualifications:
- Previous payroll, benefits, human resources, or operations experience within a law firm
- Hands-on payroll administration experience, including timekeeping review, general ledger reconciliation, and coordination with payroll providers
- Experience administering employee benefits, enrollment processes, leave programs, and related compliance requirements
- Working knowledge of payroll, wage and hour, employment, and employee benefits regulations, with multistate experience preferred
- Proficiency with payroll platforms, HRIS systems, Microsoft Office, and Excel; Power BI experience or a willingness to complete training in Power BI and emerging AI tools is preferred
- Strong analytical, organizational, communication, and problem-solving skills, with the ability to maintain confidentiality, manage competing priorities, and meet time-sensitive deadlines
- CPP, CEBS, PHR, SHRM-CP, or a related certification is a plus
