Key Responsibilities
- Provide day-to-day administrative support to construction managers, project managers, and office leadership
- Answer phones, greet visitors, and serve as a point of contact for internal and external inquiries
- Manage calendars, meetings, and coordination between office and field teams
- Prepare correspondence, reports, forms, and construction-related documentation
- Assist with job files, contracts, permits, change orders, and project documentation
- Track and organize project records, drawings, submittals, and compliance documents
- Support onboarding of new field employees including paperwork and scheduling
- Maintain organized electronic and physical filing systems
- Assist with data entry related to invoices, purchase orders, timecards, and job cost tracking
- Support accounts payable/receivable processes by gathering documentation and routing approvals
- Track vendor and subcontractor information, insurance certificates, and licenses
- Assist with payroll coordination and certified payroll documentation when applicable
- Communicate with vendors, subcontractors, inspectors, and clients as needed
- Support scheduling of inspections, deliveries, and site visits
- Follow up on action items and deadlines to ensure timely completion
- Assist with process improvements and administrative projects as assigned
- High School Diploma or GED required
- 2 years of experience in an administrative assistant or office support role
- Previous experience in construction, contracting, engineering, or related industries preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong organizational skills and attention to detail
- Familiarity with construction terminology, job costing, or project documentation
- Experience with accounting or project management software (e.g., QuickBooks, Sage, Procore)
- Strong written and verbal communication skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
