Position Overview:
We are seeking an experienced and professional Senior Accounts Payable Specialist to oversee all accounts payable functions for a small accounting team. This role will serve as the primary point of contact for AP and expense-related matters, ensuring accuracy, consistency, and timely processing. The ideal candidate is hands-on, detail-oriented, highly responsive, and comfortable working independently as the sole owner of AP.
Key Responsibilities:
- Manage full-cycle accounts payable, including invoice processing, discrepancy resolution, and payment execution via check and ACH
- Audit and review credit card transactions and expense reports to ensure proper coding and compliance with internal policies
- Serve as the main point of contact for employees regarding expense reports, credit cards, and reimbursement questions
- Monitor and respond promptly to AP and expense-related inboxes, maintaining a high level of internal customer service
- Code and review monthly credit card statements and perform reconciliations
- Support month-end close activities by communicating open and expected invoices to the accounting team
- Identify 1099-eligible vendors and prepare and distribute annual 1099s
- Assist with onboarding and training employees on expense reporting processes and internal forms
- Maintain accurate records and documentation in alignment with accounting standards and internal procedures
- Ramp (preferred but no required)
- Salesforce / FinancialForce (Certinia) exposure is a plus but not required
- 2-3 years of hands-on accounts payable experience
- Strong understanding of AP fundamentals and expense management
- Excellent written and verbal communication skills; polished and professional demeanor
- High attention to detail with the ability to independently manage priorities
- Comfortable serving as the face of AP for internal stakeholders
- Prior experience working in a lean or small accounting team environment preferred
- Hybrid schedule with in-office presence required one day per week (Wednesdays)
