A growing luxury custom home builder based in Palm Beach Gardens is seeking a polished, detail-oriented Office Manager / Executive Assistant to serve as the operational backbone of our company and a trusted right hand to executive leadership.

This is a high-impact role for someone who enjoys wearing multiple hats, takes pride in creating structure, and wants to grow with a company that is building some of the most exceptional residences in South Florida.

We design and build bespoke, high-end residences for discerning clients who expect precision, professionalism, and white-glove service. Our projects are complex, design-forward, and executed to the highest standards. As we continue to scale, we are looking for someone who can bring organization, clarity, and operational excellence to our daily workflow.

The Role

This position blends executive support, office management, and operational coordination. You will work directly with ownership and leadership to ensure the business runs efficiently and seamlessly.

Key Responsibilities

Executive Support

  • Manage calendars, scheduling, and meeting coordination
  • Screen communications and act as liaison between executives, clients, architects, and vendors
  • Prepare reports, presentations, and correspondence
  • Coordinate travel and special projects

Office Management

  • Oversee daily office operations
  • Maintain organized filing systems (digital and physical)
  • Manage vendor relationships and office supplies
  • Support HR functions including onboarding coordination

Operational & Project Support

  • Assist with contract preparation and document management
  • Track project timelines and follow up on deliverables
  • Coordinate with subcontractors and consultants
  • Support accounting with invoice tracking and expense reporting

Who You Are

  • Professional communicator with polished written and verbal skills
  • Comfortable in a fast-paced, high-performance environment
  • Tech-savvy (Google Workspace, Microsoft Office, project management software)

Experience in construction, architecture, real estate development, or luxury services is highly preferred.
