Position Overview
We are seeking a detail-oriented and dependable Accounting Administrator to support the daily operations of the accounting team. This role plays a critical part in maintaining accurate financial records, processing transactions, and supporting monthly close activities.
Working closely with the Staff Accountant, the Accounting Administrator ensures timely and accurate data across accounts payable, accounts receivable, and job cost tracking. This position is ideal for someone who enjoys hands-on accounting work, thrives in a structured, deadline-driven environment, and takes pride in accuracy and organization.
Core Responsibilities
Transaction Processing & Daily Accounting
- Process accounts payable, including invoice review, coding, and entry for vendors and subcontractors
- Support accounts receivable, including invoicing, payment tracking, and maintaining customer records
- Assist with daily transaction processing to ensure accurate and timely financial data
General Ledger & Reconciliations
- Support general ledger maintenance through account reconciliations and preparation of supporting schedules
- Perform bank and credit card reconciliations, identifying and resolving discrepancies
- Assist with journal entries and accruals as part of the monthly close process
Job Costing & Reporting Support
- Assist with job cost tracking, ensuring expenses are properly recorded and allocated to projects
- Support Work in Progress (WIP) and construction reporting by preparing schedules and validating data
- Maintain organized, audit-ready documentation for all accounting activities
Month-End Close & Compliance
- Support monthly close activities under the direction of the Accounting Manager and Staff Accountant
- Ensure compliance with company policies, internal controls, and confidentiality standards
- Assist with internal reporting requests and ad hoc accounting projects
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field preferred
- 2–4 years of accounting or bookkeeping experience, preferably in construction or project-based environments
- Experience supporting accounts payable, accounts receivable, and reconciliations
- Working knowledge of GAAP fundamentals
- Proficiency in accounting systems (Sage 100 preferred or similar ERP systems) and QB Online
- Strong Microsoft Excel skills
- High attention to detail with strong organizational and time management abilities
- Ability to work both independently and collaboratively within a team environment
Preferred Qualifications
- Construction or job-cost accounting experience
- Exposure to WIP reporting or project-based financial tracking
- Experience supporting multiple projects, entities, or clients simultaneously
- Prior experience working closely with senior accounting leadership
